Fixed asset register and list of fixed assets – what should be included?

Short answer: An asset register helps the company keep track of fixtures, machinery, buildings, and other fixed assets. The Swedish Accounting Standards Board's (BFN) guidance contains rules regarding asset registers and specific rules for certain businesses that use simplified annual accounts.

Why is an asset register needed?

The balance sheet normally shows total amounts by asset class. The asset register makes it possible to identify which individual assets make up the balance and to track acquisitions, depreciation, impairment, sales, and disposals.

What information is practical to register?

  • date of acquisition
  • acquisition cost
  • account or asset category
  • useful life and depreciation method
  • accumulated depreciation
  • carrying amount
  • location or responsible department
  • date of sale or disposal

Reconciliation with the general ledger

The register should be regularly reconciled against the accounting records for tangible and intangible fixed assets. Discrepancies can arise if an asset is sold or scrapped without the register being updated, or if an investment is posted to the wrong account.

K2, K3, and changes

Accounting rules for fixed assets differ between the frameworks. The Swedish Accounting Standards Board has also decided on changes to K2 and K3, which means that companies need to check which version applies to the current financial year.

Components in K3

For certain buildings in K3, significant components with substantially different useful lives need to be tracked separately. BFN states that the asset register must then be updated with these components.
