How to use the hair salon calculator
- Enter the salon's actual personnel costs, fixed overheads, bookable hours, and realistic occupancy in Settings.
- Register consumables with purchase price, package size, and waste in Materials.
- Link materials and quantities to the respective treatment ID in Material Lines.
- Enter treatment time, chosen VAT rate, and current customer price in Treatments.
- Compare calculated cost, suggested minimum price, and estimated margin. Document decisions in the price log and treatment card.
- Enter estimated number of treatments per month in Forecast and check billable hours against booking capacity.
Example: calculating allocated hourly cost
If personnel costs are 42,000 SEK per month, fixed costs 24,000 SEK, bookable time 160 hours, and occupancy is 75 percent, there will be 120 billable hours. The allocated hourly cost will then be 550 SEK per billable hour. A 45-minute treatment will thus have 412.50 SEK in allocated time cost before materials. The calculation is dependent on assumptions being reasonable and does not provide any guarantee of actual profitability.
VAT for hair and beauty treatments 2026/2027
The Swedish Tax Agency's (Skatteverket) standard tax rate is 25 percent for taxable goods and services not covered by special exemptions or reduced tax rates. Common hairdressing and cosmetic beauty treatments are normally subject to 25 percent VAT, but other treatments, such as certain healthcare services, may need to be assessed separately. Therefore, enter the actual applicable VAT for each service and re-check the regulations for the 2027 fiscal year.
Material costs in the workbook are normally stated excluding deductible input VAT; the customer price is stated including VAT. If input VAT cannot be deducted, the cost basis must be adjusted according to the company's actual situation.
Who is this product for?
For hair salons, barbers, self-employed stylists, and beauty salons that need to analyze treatment prices. It complements a general business price calculator with material consumption linked to treatment IDs and includes capacity and occupancy planning specifically adapted to time-based salon services.
Common mistakes to avoid
- Using all working hours as if they were billable customer hours.
- Mixing customer prices including VAT with material costs excluding VAT.
- Double-counting owner salary, staff, rent, or single-use materials.
- Using grams, milliliters, and units interchangeably without correct unit conversion.
- Believing that the contribution margin is the same as reported profit or money in the bank.
