About this template
Electric Vehicle Charging Log & Charging Cost Register helps you document your electric vehicle's or plug-in hybrid's charging sessions, measure kWh, record actual payments, and estimate charging costs. Get a clear collection of charging logs in Word/PDF and a formula-driven Excel workbook for home charging, public charging stations, and charging at other locations.
Important: This is a private documentation and tracking tool, not automatic electricity metering, a legally valid energy declaration, tax declaration, charging box safety check, or accounting verification.
01. Package Contents
5 Swedish work templates, 1 Swedish user guide and 1 English user guide, all in editable Word (DOCX) and searchable PDF. An Excel register (XLSX) with nine tabs is also included. Total of 15 customer files in a ZIP.
02. What the Files Contain
Vehicle and charging profile, logs for each charging session, cost data, trip and consumption logs, and discrepancy and receipt tracking. Excel aggregates charging sessions and prices, calculates your own cost estimates, and distinguishes them from the amounts actually paid according to the receipt.

Excel register with nine tabs
The workbook contains Overview, Vehicle, Charging, Trips, Costs, Price Data, Monthly Overview, Discrepancies, and Read Me. In Charging, you record the measured kWh and, if known, the price in SEK/kWh. Excel then calculates kWh × SEK/kWh. If you enter an actual amount from a receipt, this is used instead in the reported total. The amount type is displayed as Actual or Calculated.
Trip consumption is calculated from measured consumption during the trip ÷ measured miles driven and must not be confused with purchased kWh during charging. The Monthly Overview tab is a manual reconciliation basis; other key totals are calculated automatically. There is space for up to 200 rows per data log.
Example: how is the charging cost calculated?
If you record 20 kWh and 2.50 SEK/kWh yourself, a calculated charging cost of 50 SEK is displayed. If the invoice later shows an actual paid amount of 54 SEK, you record that amount in the receipt field: Excel then uses 54 SEK and marks the entry as actually paid. The formulas do not automatically find electricity prices or receipts. They cannot know which grid fees, fixed fees, taxes, VAT, or charging losses are included in your specific price.
How to get started
- Register the vehicle with a consistent vehicle ID.
- Enter each actually measured charging session in kWh with the date and charging location.
- Enter the price per kWh if you know what the price includes, or copy in actual receipt amounts.
- Record other fees separately in Costs without double-registering the same charging session.
- Record trips with measured miles and separately measured energy if you want to track kWh/mile.
- Reconcile against receipts, the charging operator, and original documents.
Safe electric vehicle charging
Elsäkerhetsverket recommends that regular home charging be done via a charging box installed for that purpose, as standard wall outlets are not intended for repeated long-term high loads. This template is not an installation guide or an electrical safety inspection. Use a qualified electrical installation company for installation and safety issues.
Frequently Asked Questions
Can I log both home charging and public chargers?
Yes. Enter the charging location and charging type on each row. Record only actually measured energy and known price information.
Does Excel automatically retrieve electricity prices from utility companies or charging operators?
No. You fill in the values yourself from receipts, invoices, meters, or operators. There is no app or API connection.
What is the difference between calculated and actual charging cost?
Calculated cost is kWh multiplied by the entered price. Actual cost is the payment you have checked against a receipt. The actual cost takes precedence in the Excel report.
Can I use the register for multiple electric vehicles?
Yes. The vehicle ID makes it possible to separate charging sessions and notes.
Does it calculate compensation for a company car or tax deductions?
No. The package does not include tax or company car calculations and does not determine what is deductible or eligible for compensation.
Are the PDF files fillable?
The PDF files are searchable and print-friendly but have no interactive form fields. You can edit the Word files directly.
Are all work templates in English?
No. The five work templates and the Excel register are in Swedish. A separate English user guide is included.
