About this template
Property boxes & mailboxes – marking register, name change order and fault log is a document package for housing cooperatives, landlords and property managers in Sweden. Inventory mailboxes with neutral IDs, order and document name changes, report faults and follow up on completed actions. The package is an administrative aid and does not grant the right to open mail or change the postal operator's delivery decision yourself.
Quick facts: 5 Swedish work templates, Swedish user guide and English User Guide; 7 editable Word files (DOCX), 7 corresponding searchable A4 PDFs without digital form fields and an Excel workbook (XLSX) with nine tabs. Total 15 customer files in a digital ZIP after separate activation. The main templates are Swedish; the English guide does not mean English main documents.
01. Package contents
Five work templates: Mailbox register and marking inventory; name change and marking order; mailbox round and functional check; fault report and documented delivery obstacle; action receipt with separate follow-up. In addition, a Swedish user guide, English User Guide and an Excel workbook with nine tabs are included. Seven independent documents are available in both DOCX and PDF; together with Excel, this makes 15 files.
02. What the files contain
Work fields for property, box ID, compartment ID, apartment reference, actual marking, authorized order, visual round, delivery obstacle, operator contact, completed work and separate follow-up. Excel has status options, duplicate check and administrative summaries. Residents' names are not stored in the Excel main register by default; any necessary sign text is documented in a separate access-restricted marking order. Ordered does not mean completed, and completed does not mean followed up or approved by a postal operator.
Who should choose the template – and when is it not suitable?
Example 1: A housing cooperative wants to inventory the apartment references of the compartments and check for legible marking during a change of property manager. Example 2: A landlord needs to order a name change upon move-in, document the responsible function and distinguish the order from actual signage and follow-up.
Choose another basis for key receipt, rental agreements, protected personal data requiring special decisions, permission to open someone else's mail or decisions on relocated mail delivery. Contact the relevant postal operator in case of changed delivery or unclear location.

The Excel tool in practice
The nine tabs are Overview, Property boxes, Mailboxes, Marking order, Rounds, Faults & obstacles, Work order, Follow-ups and Read me. Seven register tabs have 100 empty rows each. Formulas flag duplicate IDs and count separate administrative statuses. In a fictitious scenario test, two unique box IDs were counted as 2; duplicate mailbox ID was marked DUPLICATE and not counted as two. The test tasks have been removed from the customer file. Excel does not calculate legal deadlines or whether mail delivery is legally approved.
Step-by-step workflow
- Identify property, current box, mailbox ID and relevant address/apartment reference.
- Record actual signage and visible condition without opening private mail.
- Verify authorized grounds for name change; use separate restricted order for necessary sign text.
- Report faults and obstacles with actual observation and contact the postal operator when required.
- Record order, actual completion and independent follow-up separately.
- Archive only necessary data with restricted access and relevant retention schedules.
Legal prerequisites and limitations
Postal activities and PTS: the Postal Act (2010:1045) regulates postal activities. PTSFS 2022:20 concerns the provider of community-wide postal services; its rules are not a general direct legal obligation for every property owner. See also PTS explanation of the rules.
Marking: PostNord's instructions for property boxes describes location, marking and update upon move. They are operator instructions, not in themselves a legal guarantee or authority approval. Other operators and actual agreements may require separate checks.
GDPR: IMY's guidance for associations shows that names, addresses and apartment references can be personal data. Apply data minimization, access protection and special handling of protected data. Excel without names is not automatically anonymous when the ID can be linked to a person.

If reception or key receipt is needed instead, see key register and key receipt. For electronic permissions and tags, there are access systems and access badges. The mailbox product focuses on actual marking, rounds, faults and follow-up.
Frequently asked questions
Is a property box mandatory for all multi-family buildings?
This cannot be determined by this template. Check the operator's applicable delivery arrangement and relevant rules for the current property.
Can residents' names be entered directly in Excel?
The main register has neutral IDs without name fields. Sign text that is actually needed is kept separately in an access-restricted work order according to an established personal data routine.
Can we decide on a new delivery location?
Not with this document. Contact the relevant postal operator and document the actual decision or agreement.
Are PostNord's marking requirements the same as the law?
No. An operator's practical marking instruction should be kept separate from the Postal Act and PTS regulations and their scopes.
Are the PDF versions fillable and the templates in English?
The PDF files are searchable, not digitally fillable. The main templates are Swedish. Only the English User Guide is in English.
Is a case completed when the work order is marked as completed?
No. Completion and possible separate follow-up must be registered based on actual evidence. Neither of these is automatically postal operator approval.
