What the files contain

The Excel workbook has the following tabs: Dashboard, Settings, Income Budget, Cost Budget, Results Budget, Cash Flow, Actual Results, Variances, and Instructions. Monthly and full-year totals, actual results variance, and cash flow forecasts are calculated from the data you enter. The Word templates help the board document decisions, assumptions, monitoring, and actions.

What is an association budget?

An association budget is a plan for the income and costs a non-profit organization expects during a specific period. Common sources of income include membership fees, grants, donations, and various activity fees. The budget makes it easier to prioritize, allocate responsibilities, and monitor progress.

Why do you need both a results budget and a cash flow plan?

The results budget shows planned income minus costs. The cash flow plan shows when payments actually come in and go out. For example, a grant may be included in the year's budget but not paid out until after costs have been incurred. Therefore, cash flow is planned separately in Excel.

How to use the package

  1. Enter the organization's name, budget year, opening cash balance, and desired reserve.
  2. Budget membership fees, grants, donations, income, and costs by month.
  3. Record expected payments and payouts by payment date.
  4. Prepare decision-making materials and have the appropriate body approve the budget in accordance with the bylaws.
  5. Record the final actual results and document budget variances and actions.

Frequently asked questions

Is the budget template suitable for a small non-profit organization?

Yes. You can leave irrelevant categories blank and adapt the Word templates to your decision-making process. Excel already includes formulas for a 12-month budget and cash flow.

Does Excel automatically calculate the bank account's cash flow?

Excel calculates the forecast based on the opening cash balance and the planned payments you enter. The workbook does not automatically retrieve bank transactions or accounting data.

Can we monitor the budget against actual results?

Yes. Enter the final monthly results in the Actual Results tab, and variances will be calculated in the Variances tab and overview.

Can we use the template for year-end accounts or grant reporting?

No, not as a direct replacement. The budget is an internal planning and monitoring tool. Year-end accounts, accounting, taxes, and the funder's specific reporting requirements must be handled separately.

Are membership fees and grants subject to VAT?

It depends on the type of income and the organization's activities. The budget does not perform an automated tax assessment. Check the current rules and applicable grant terms.
