About this template
Cancelled concert, rescheduled event, or a significant change to the festival program? Here you will find five Swedish Word templates for requesting a refund for event tickets, disputing booking fees, and documenting an individual price reduction. A Swedish guide, an English guide, and an Excel tool with nine tabs will help you keep track of tickets, payments, claims, and evidence.
Intended for private individuals in Sweden who have purchased tickets to concerts, theater, festivals, or similar events from companies. The focus is on primary tickets. Secondary market purchases, private purchases, and international purchases require special assessment. The documents are not an automatic refund service.
01. Package Contents
15 customer files: seven editable Word documents (DOCX), seven corresponding searchable and printable PDF files, and an Excel register (XLSX) with nine tabs. The Word/PDF pairs consist of five Swedish work templates, a Swedish user guide, and an English User Guide. The five Swedish letter texts are not translated into English. The PDF versions are not interactive forms.
02. What the Files Contain
Fields for the organizer, ticket seller, order number, the event's original/new date, number of tickets, nominal ticket price, service/booking fee, documented changes, and evidence. Excel keeps claimed amounts, accepted claims, and actual refunds separate. It does not legally determine the amount someone must pay.

How to request a refund for event tickets
- Check what has changed. Determine whether the event has been completely cancelled, rescheduled, or only partially changed. Save the original program, ticket, terms of purchase, and the organizer's message.
- Check the correct counterparty. As a rule, you contact the organizer, but the ticket agent's agreement may affect who receives the refund claim. Use the actual terms of purchase, not an invented counterparty.
- Choose the right letter. Document 01 applies to cancellations, 02 to rescheduled events, 03 to significant program changes, 04 to fee deductions, and 05 to no response or preparations for separate creditor contact.
- Itemize the amounts separately. The ticket's nominal price, booking/service fees, any secondary market markup, and hotel and travel costs do not automatically have the same legal basis.
- Send in writing and follow up. Save responses, proof of receipt, and actual refunds in Excel. Do not share the ticket's scan code, full card number, or other sensitive information.
What rules apply when an event is cancelled or rescheduled?
Cancelled concert – ticket price refund
The Swedish Consumer Agency's guidance states that the buyer can normally request a refund when the entire event is cancelled, regardless of the reason for the cancellation. Separate ticket fees may need to be assessed according to the agreement that was in effect at the time of purchase. Request written contractual support for any deductions.
Rescheduled concert – you normally do not have to accept the new date
If the organizer reschedules the concert, you can normally choose not to accept the new date and request a refund for the ticket itself. Document 02 helps you communicate your choice and document the date of the notification.
Partially cancelled festival or significantly changed performance
If, for example, the headliner does not perform, a price reduction may be applicable. It must be assessed based on what was agreed and the significance of the change. A cancelled support act is not automatically as serious as a cancelled headliner. There is no general fixed percentage.
Service fees, secondary market markup, hotels, and travel
Refunds for separate booking or service fees depend on the terms and the legal nature of the fee. A deduction should not be accepted without question, but it should also not be assumed to be disallowed. Request a written breakdown.
Secondary market ticket – the organizer's liability may be limited to the ticket's original nominal price, not the paid markup.
The concert organizer does not automatically compensate for separate hotel or travel costs.
No automatic right of withdrawal for primary tickets
Primary tickets to cultural events on a specific date are normally covered by the exception to the right of withdrawal under distance contracts. See the law (2005:59), Chapter 2, Section 12. For professional secondary market sales at a distance, the right of withdrawal may need to be assessed differently.
Credit card, invoice, and bank card chargeback
In a credit purchase, the consumer may, under the right conditions, make a claim against the creditor. On the review date of November 6, 2026, the provision is in the Consumer Credit Act (2010:1846), Section 29. That law expires on November 20, 2026. Therefore, check the applicable law and transitional provisions before using an older paragraph reference. Debit cards may instead be covered by the bank's card chargeback terms.
No invented general refund deadline
There is no general statutory 7- or 14-day deadline for the organizer's refund when a concert is cancelled or rescheduled. Request the processing time in writing and save any contractual information. Rules on the refund deadline when the right of withdrawal is exercised are a separate matter.
Excel with nine tabs – from ticket to refund
The tabs are Read Me, Overview, Cases, Tickets, Changes, Claims, Payments, Contacts, and Evidence. The overview shows the number of registered cases, cancelled/rescheduled events, and separate summaries for nominal ticket price, booking fees, secondary market markup, claimed amounts, the company's accepted amounts, and actually received refunds.
Tested example: 200 kr claimed, 100 kr accepted, and 50 kr actually received are three separate figures. The administrative difference between the claimed and received amounts is 150 kr, but this does not mean that 150 kr is a confirmed debt. Test data has been removed from the customer file; all summaries in the overview are zero in the empty register.
Frequently asked questions about cancelled concerts and events
Do I have the right to a refund when a concert is cancelled?
Yes, you can normally request a refund for the ticket itself. Check the separate fees in the terms of purchase and send a written claim to the correct contracting party.
Do I have to accept a new concert date?
Normally no. You can choose to decline the new date and request a refund of the ticket price instead. Save the organizer's rescheduling notice.
Can the organizer keep the booking fee?
It depends on the terms and the nature of the fee. A deduction should not be accepted without question, but it should also not be assumed to be disallowed. Request a written breakdown.
Can I claim compensation for hotel and train travel?
Not automatically. Check the cancellation terms of the travel and hotel bookings themselves, as well as any insurance.
What happens if the festival's headliner is cancelled?
A significant change may entitle you to an individually assessed price reduction. It is not the same as the entire festival being cancelled and does not automatically result in a full refund.
Can I cancel a concert ticket within 14 days?
Primary tickets to cultural events on a specific date are normally covered by the exception to the right of withdrawal under distance contracts. Distance purchases from professional secondary market sellers may be treated differently.
What do I do if the company does not respond?
Send a written reminder, document the date and verified contact methods, and then assess whether ARN or the creditor is a relevant next step.
Can I use the credit card's right of objection?
In a credit purchase, you may have the right to make claims against the creditor. Check the applicable law for the payment date: the Consumer Credit Act 2010:1846 expires on November 20, 2026.
Are the PDF files fillable, and are there English claim letters?
The PDF files are searchable and printable, not interactive forms. Edit the Word files. The English User Guide provides guidance, while the five operational work templates are in Swedish.
