About the document template
This candidate assessment template is adapted for Swedish employers, HR managers, hiring managers, and small recruitment teams. Excel – a functional candidate assessment matrix
The workbook contains START, CRITERIA, CANDIDATES, ASSESSMENTS, COMPARISON, and GDPR. You can customize five criteria and their weights, register candidates with separate ID codes, assess each criterion on a scale of 1–4, and obtain a transparent, weighted summary.
Built-in controls: weightings must total 100%, mandatory requirements must be checked, and all criteria must be assessed before a full score is displayed. Missing documentation is not treated as a zero. The formulas show follow-up status, but Excel does not decide which candidate should receive the position.
Example: ratings of 3, 4, 3, 2, and 4 with weights of 30%, 25%, 20%, 15%, and 10% yield a weighted result of 3.20 out of 4. The calculation can support an equivalent comparison but does not replace human judgment.
How to use the template package
- Determine the mandatory requirements and assessment criteria for the position before interviews begin.
- Adapt the criteria template and assessment weights to the role and document who approved them.
- Assign candidates codes, such as K-001, and store the link to their names separately.
- Assess each person using as far as possible comparable questions, work samples, and written observations.
- Use the assessment form and record only necessary, work-related information in Excel.
- Check the Excel tool's signals for missing information and uncertain results.
- Document the human selection decision and its factual reasons in the separate selection protocol.
- Archive and dispose of the material based on an established and legally substantiated procedure.
Common mistakes
- Changing criteria after the candidates' results have become known.
- Treating the lack of documentation as a failing grade.
- Assessing personal background, health, or other irrelevant or protected factors.
- Using a total score as the sole basis for hiring decisions.
- Putting full identity information and sensitive notes into a shared Excel workbook.
- Retaining candidate data without an assessed legal basis or documented procedure.
Legal information and limitations
According to the Discrimination Act, recruitment must take place without prohibited discrimination, and employers are subject to rules regarding active measures. GDPR entails requirements for a relevant legal basis, information, data minimization, security, and storage limitation, among other things. IMY emphasizes that assessment data must be factual and correct and that automated decision-making or profiling may trigger specific rights and risks.
The product is an administrative support for human decision-making. It contains no AI selection model, personality test, automatic ranking with rejection decisions, or the right to collect sensitive personal data. The assessment scale is an explained internal model, not a competency measurement established by an authority. An agency or organization subject to specific public access, archiving, or sectoral legislation must adapt the routines.

Frequently asked questions about candidate assessment
Is this an assessment template for job interviews?
Yes. It helps the hiring manager or HR document criteria, observations, competencies, and next steps after an interview or work sample.
Can multiple candidates be compared in Excel?
Yes. The workbook supports up to 30 registered candidate IDs in its prepared structure and provides weighted scores when the necessary documentation is complete.
Does Excel choose which candidate to hire?
No. The calculations are only support. The authorized decision-maker must personally assess the overall picture, the mandatory requirements, the quality of the information, and the risk of unfair treatment.
Is an English version included?
Yes. Candidate Assessment is available in English with a Swedish legal context. The criteria template, selection protocol, user guide, and Excel workbook are in Swedish.
Does the employer need to already have a job profile?
It is recommended to start from an established description of the position's actual requirements. A criteria template is included to help you document them.
Can personal identity numbers and health information be entered?
The template is deliberately intended for candidate IDs and work-relevant assessment documentation. Do not enter sensitive information or identity details without specifically assessing the legality and necessity.
How long may data be saved?
No general time applies in all contexts. Recruitment data should normally be deleted or de-identified when no longer needed, with consideration for potential legal claims and specific archival rules.
