About the document template

A well-considered job description provides a shared understanding of a role's purpose, key deliverables, priorities, mandates, reporting lines, and support needs. It can be used for recruitment, onboarding, role allocation, competency planning, and objective reviews of work tasks.

This is a general, customizable template and not a specialized description for a specific title. It can be adapted for roles such as administrator, coordinator, accounting assistant, technician, supervisor, or HR function.

Excel – practical register with useful functions

The Excel workbook helps the organization follow up on roles, role codes, competency requirements, distribution of responsibilities, and reviews. It contains filterable structures, status dropdowns, formula-based control signals, and a summary. Fields for missing role titles, review dates, responsibility points, and competency support can be flagged for manual action.

The tool is intended for roles and job requirements, not automated individual assessment. It does not make employment decisions, grant powers, or replace HR systems.

How to use the package

  1. Inventory the tasks the business actually needs, which roles exist, and who is responsible for decisions.
  2. Fill in the Swedish job description with a concrete role purpose, prioritized deliverables, work tasks, and reporting lines.
  3. Describe mandates, limitations, and escalation paths. Refer to separate powers of attorney, authorization procedures, and any delegation of work environment tasks.
  4. Use the role and competency profile to define objective basic requirements, meritorious knowledge, and necessary support resources.
  5. Produce the English version if the role is used in a multilingual business and coordinate the content.
  6. Review the role's workload and resources, document any measures in the role review, and acknowledge receipt of information.
  7. Register positions and their responsibilities in Excel. Review the control signals and plan the next follow-up.

Common mistakes to avoid

  • Writing general formulations without concrete responsibility or clear priorities.
  • Confusing a role description with an employment contract, signatory rights, or formal delegation of work environment tasks.
  • Assigning responsibility without corresponding competence, resources, time, and decision-making channels.
  • Using unjustified competency requirements or subjective judgments about individual people.
  • Changing essential terms of employment solely through a new job description.

Legal and work environment information

LAS Section 6 c requires, among other things, a brief description or specification of work tasks and job title in the employer's written information to the employee. This detailed job description can serve as supplementary working material but is not in itself a complete substitute for the information required by law.

AFS 2023:2, Chapter 2 stipulates, among other things, that employees should know what they are to do, what is to be achieved, how tasks are prioritized, who they can turn to for support, and what powers they have. Workload must be reasonable in relation to available resources.

AFS 2023:1, Section 9 contains specific rules on the distribution of tasks in systematic work environment management, including requirements for knowledge, powers, and resources. Written documentation of this distribution of tasks is required for ten or more employees. A general role description does not automatically constitute a complete delegation of tasks.

Data about employees must be processed in accordance with GDPR with a clear purpose, relevant legal basis, restricted access, and appropriate storage time. In the case of major organizational changes, collective agreement issues, or safety-critical powers, relevant specialists should be consulted.

Frequently asked questions

What is the difference between a job description and an employment contract?

The job description clarifies work tasks, goals, mandates, and expectations. The employment contract and the mandatory written employment information also address the terms of the employment.

Can the template be used for different professions?

Yes. It is a general role description with editable fields that can be adapted to different functions. It does not contain pre-defined work tasks for all professions.

Is an English version included?

Yes, a Job Description in English within a Swedish legal context. The other four text documents and the Excel workbook are in Swedish.

Is this a legally binding delegation of work environment responsibility?

No. Specific distribution of work environment tasks must be assessed and documented according to the rules applicable to the business.

What does the Excel register contain?

Role register, responsibility register, competency requirements, automatic control flags, and a summary overview. No fictional employees are included in the delivery.

Can the template be used during a reorganization?

As working material, yes. Employment law-related changes or any negotiation obligations must be handled separately.
