The Excel tool
- Members: up to 500 rows with member ID, contact details, category, joining date, status, and exit date.
- Fees: up to 1,000 charges with paid amount, difference, payment date, and status.
- Board & roles: document functions, term of office, and access level to the member register.

GDPR – built for data minimization, not unnecessary collection
The Swedish Authority for Privacy Protection (IMY) states that associations processing personal data in member registers must comply with the GDPR. The register should not contain more personal data than necessary, and the association must have a clear purpose and a legal basis for the processing. Therefore, the Excel template does not store personal ID numbers as a standard field; instead, it includes a control checkbox to indicate if personal ID numbers are handled in the association's systems. The same applies to protected identities.
The product provides support for documenting the legal basis but does not automatically select "consent." Private associations may, depending on the purpose, use, for example, contract, legal obligation, balancing of interests, or consent. The association is responsible for assessing the correct basis before processing begins.
Specific for economic associations
According to Chapter 5 of the Economic Associations Act (2018:672), an economic association must maintain a register of members. Therefore, the Word/PDF template contains control fields for items such as name and postal address, date of entry, investing member status, number of capital contributions, and details regarding capital contributions. Economic associations are also subject to specific rules regarding accessibility and preservation, which must be verified for the specific association in question.
Who is this template for?
Non-profit associations, sports clubs, cultural and hobby associations, trade and interest organizations, member organizations, and smaller economic associations. Housing cooperatives (BRF) may use the tool administratively but should verify the additional regulations applicable to them.
Frequently asked questions
Is the template automatically "GDPR-approved"?
No. GDPR compliance depends on how the association actually processes data, what data is collected, the legal basis, information provided, security, and data disposal. The template provides structure and control support but does not replace the association's own assessment.
Must we have personal ID numbers?
Not generally. Personal ID numbers should not be collected indiscriminately. Only register them when there is a clear, proportionate, and legal necessity.
Can a member demand the entire member register?
A typical private association is not a public authority and generally does not need to disclose the entire member register just because a member requests it. However, the member has rights under the GDPR regarding their own personal data. Economic associations have specific rules regarding the accessibility of the member register.
Can I track member fees?
Yes. The fee sheet handles charged amounts, paid amounts, differences, payment dates, status, and payment references.
Is the English version for foreign law?
No. The English version is a working translation for organizations operating under Swedish conditions.
