About this template
Treasurer handover and financial handover protocol for non-profit organizations. A professional template package for outgoing and incoming treasurers when the organization's financial records, reconciliations, open items, and system permissions need to be checked and handed over. You get editable Word documents, corresponding searchable PDF files, and an Excel register with nine tabs. The package has a clear financial focus and is not a general board handover package.
01. Package contents
15 customer files in ZIP: five Swedish working documents, a Swedish user guide and an English User Guide, each as an editable Word document (7 DOCX) and corresponding searchable PDF (7 PDF), plus an Excel workbook with nine tabs (1 XLSX). The PDF files can be read and printed but are not interactive forms. The English User Guide is an instruction manual, not English versions of the main templates.
02. What the files contain
Handover protocol, separate bank and cash reconciliation, inventory of receipts and archives, check of payment flows and external permission confirmations, open receivables and payables, final settlement, Swedish and English guides, and an administrative Excel register for status and control references. None of the documents perform bookkeeping, bank login, bank authorization, or auditing.
Who needs the package?
Swedish non-profit organizations where the treasurer or person responsible for finances is leaving their role and the successor needs to be able to track the financial position, records, and outstanding issues. The product complements Board Handover – Non-Profit Organization, which covers overall board and organizational issues. This package has in-depth financial elements, reconciliations, and verification inventories. It does not replace the existing cash book or year-end closing template.

Excel register with nine tabs
The workbook contains Overview, Handovers, Bank and Cash, Receipts, OpenItems, Permissions, Deviations, Acknowledgement, and ReadMe. Nine tested summaries count registered handovers, manually closed handovers, reconciled bank/cash items, inventoried receipts, open financial items, externally verified permissions, deviations, received acknowledgements, and verified deviations. Statuses are entered manually and can be selected from prepared lists. There is room for up to 200 register rows per tab. Excel does not determine whether the organization meets the legal bookkeeping requirements, whether a reconciliation is correct, or whether bank authorization has legally changed.
How to proceed during a change of treasurer
- Check the bylaws, board decisions, delegation of authority, and which roles have the right to hand over and receive materials.
- Determine the period, reconciliation date, and which bank and cash sources are to be compared.
- Inventory bookkeeping materials, receipts, bank statements, backups, and archive responsibility; note any missing materials.
- Compare bank/cash with booked balances and document differences without automatically booking them.
- List open payments, overdue receivables, payables, and authorization issues. Assign responsibility for actual follow-up.
- Perform bank and system permission changes through the providers' own processes and await external confirmation.
- Acknowledge what has actually been received, mark outstanding points, and report to the board.
Legal starting points and limitations
According to the Swedish Tax Agency's guidance on bookkeeping in non-profit organizations, non-profit organizations are required to keep books when certain conditions are met, including when the organization conducts commercial activities, is a parent company in a group, or has assets above the relevant threshold. The bylaws may also contain reporting requirements. The Swedish Accounting Standards Board states that the financial information of organizations required to keep books should normally be archived for seven years. The Swedish Tax Agency's legal guidance on the management of organizations describes the board's responsibility for bookkeeping and fund management. IMY covers GDPR, data minimization, and access protection in organizations.
Important: The treasurer's acknowledgement does not automatically release the board or a previous official from responsibility. The organization's bylaws and authorized decisions must be checked. A receipt protocol does not create bank authorization, reconciliation balances are not audited by auditors in themselves, and not even a "Verified" status in Excel is an external certification. Never enter passwords, one-time codes, full bank details, or sensitive personal data in the template.
Frequently asked questions
What should a treasurer hand over?
It depends on the organization's activities but normally includes relevant bookkeeping, reconciliation records, receipts, information about open financial items, year-end closing records, and information about which external permissions must be changed. Check the organization's own routines.
Is a treasurer handover protocol the same as discharge from liability?
No. The protocol confirms documented receipt and outstanding points. It is not an audit report, discharge from liability review, or an automatic release.
Can bank authorization be changed by us signing the template?
No. The bank or provider has its own process for permission control, identification, protocol, and registration. A sent request is not the same as an externally confirmed change.
Must all non-profit organizations keep books according to the Bookkeeping Act?
Not always. The bookkeeping requirement depends on actual circumstances such as commercial activities, assets, and group conditions. The bylaws may also set special requirements. Assess this separately with current regulations.
Can Excel automatically determine financial differences and legal deadlines?
No. Excel shows administrative counters and manual statuses. The organization must compare the actual account statement and booked records for the same date and investigate any differences.
Can I get an English version of the handover protocol?
The five working templates are in Swedish. An English User Guide is available to explain usage but is not a translation of the documents.
