About this template

Complaint to IMY under GDPR – document templates in Word, PDF and Excel. A practical document package for you if you believe that an identifiable business has processed your personal data in a way that violates GDPR. Complete the complaint, document contacts and events, list evidence, and follow up on the case. The package is intended for Swedish complaint cases to the Swedish Authority for Privacy Protection (IMY).

Important before purchase: It is free to submit a complaint directly to IMY via the authority's own channels. You do not need to purchase Mallbutikens templates to complain. The product is a voluntary structuring aid, not an official IMY form, and provides no priority or guaranteed supervision.

01. Package contents

7 editable Word (DOCX) + 7 searchable print-ready PDFs + 1 Excel (XLSX) = 15 customer files. Five Swedish working documents, one Swedish guide and one English User Guide, all seven in both Word and PDF, plus an Excel workbook with nine tabs. PDF is not an interactive fillable form; use DOCX for editing. After subsequent manual publication, the ZIP is delivered via Shopify Digital Products.

02. What the files contain

Complaint letter, compilation of previous contact with the data controller, event timeline, evidence and annex register, supplementary template, and two guides. The Excel tool organizes cases, parties, events, contacts, annexes, and checks, but does not make legal assessments or send documents.

When is the IMY complaint template suitable?

For a natural person whose own personal data has been processed and who believes that the processing violates the General Data Protection Regulation. The right to complain follows from Article 77 GDPR. The complaint needs to state who you are, how you can be reached, whom it concerns, and what you believe has happened. If it does not concern your own personal data, a tip may be more relevant. An organization's own incident reporting, claims for damages, and the special procedures of the Data Breach Act are other processes.

Excel with nine tabs

The workbook has Overview, Cases, Responsible Parties, Events, Contacts, Annexes, Communication, Checks, and Read Me. Eight formula-driven key figures summarize only registered data. Sent notification, confirmed receipt, and initiated supervision are not the same thing. Excel does not assess whether GDPR has been violated, calculate legal deadlines, or determine the authority's decision. No macros or external data connections are required.

How to use the documents

  1. Check that the complaint concerns your own personal data and that the affected business can be identified.
  2. Document what has happened and any contact with the business. IMY recommends that you contact the operator in the first instance, especially regarding access, erasure, or rectification.
  3. Fill in the Swedish complaint and link each claim to relevant annexes.
  4. Review information concerning other persons and remove anything that is not needed.
  5. Check IMY's current instructions for the submission channel.
  6. Record actual receipt confirmation and follow up on any response separately.

Important legal and practical limitations

Protected personal data: IMY expressly states that you should not use the authority's e-service if you have protected personal data; instead, follow the authority's instructions for mail. Incoming complaints and annexes become public documents, and disclosure is subject to a confidentiality review. The operator you are complaining about may receive the information you send. Articles 77–78 GDPR regulate complaints and remedies, but a complaint does not guarantee a specific supervisory measure or damages.

Frequently asked questions

Does it cost to complain to IMY?

No. IMY accepts GDPR complaints free of charge. The product price refers to Mallbutikens voluntary document templates and Excel tool, not any authority fee.

Can I complain if the personal data concerns someone else?

A complaint under Article 77 normally concerns the processing of your own personal data. If you instead want to bring another matter to the authority's attention, it may be a tip.

Do I have to contact the company or authority first?

IMY recommends it, especially regarding access, erasure, and rectification, but it is not a general absolute formal requirement for all GDPR complaints.

What applies to protected personal data?

According to IMY, you should not use the e-service. Follow the authority's instructions to send the letter securely and limit unnecessary annexes.

Can IMY decide on damages to me?

No. A complaint to IMY is not the same as a claim for damages. Compensation issues are handled according to special remedies.

Are the PDF files fillable and are there English main templates?

The Word files are editable. The PDF files are searchable and print-friendly but are not interactive forms. The main documents are in Swedish; English User Guide is only an explanatory guide.
