How to use the templates step by step

1. Collect the main contract, relevant annexes, agreed version, statement of work and authorized contact persons.
2. Hand over from negotiator or procurement function to the business contract owner, and document what is still unclear.
3. Hold a kick-off meeting with the supplier regarding deliveries, resources, responsibilities, communication, invoicing channels and follow-up.
4. Check start conditions, permissions, risks and any data processing agreement before data or access is provided.
5. Record milestones, open points, internal deadlines and verification evidence in Excel.
6. Transfer the documentation to ongoing contract management without confusing internal work status with contractual acceptance.

Excel with automatic overview

Dashboard counts registered contracts, handovers, completed kick-off meetings, deliveries, achieved milestones, open risks, open actions and overdue internal actions. Internal deadline and any agreed time limit are documented separately. A registered or achieved milestone does not automatically mean binding delivery acceptance.

Legal limitations and Swedish law

Important: The product is an administrative aid for private B2B contract work. A kick-off meeting, an internal start receipt or a completed template does not automatically create a new contract or a contract amendment. Contractual bindingness and authority must be assessed according to, among other things, the Contracts Act (1915:218), actual authority and agreed terms. Delivery acceptance, payment terms and consequences follow the current contract and applicable law, not the status of the Excel register.

If the supplier is to process personal data on behalf of the customer, the roles must be assessed and relevant requirements in GDPR, including Article 28 on data processors, ensured. Methodological support from the Swedish Public Procurement Authority is used for kick-off and contract follow-up, but the package is not a complete basis for LOU or LUF procurement. No independent legal or technical review has been carried out.

What is a contract handover?

A controlled transfer of contract information, responsibilities, annexes and open issues from the person who negotiated or procured to the person who will manage and use the contract.

What should a kick-off meeting include?

Contract version, scope, delivery plan, allocation of responsibilities, reporting, invoicing, any SLAs, data protection and a documented list of open issues and next steps.

Does an approved start card mean that the delivery is accepted?

No. The start card refers to internal readiness. Formal delivery acceptance and its legal effects must be assessed according to the current contract.

Does the package work with existing contracts?

Yes, as an internal method for starting up or handing over an existing private B2B contract. It does not create new contractual terms and does not replace a separate amendment agreement in the event of material changes.

How many documents are included and in what language?

Five Swedish working templates, one Swedish guide and one English guide, all in Word and PDF, plus an Excel workbook. Total 15 files. The five working templates are not fully translated into English.

Is the Excel register an automatic contract approval?

No. It counts actual registrations and clear status values, but does not replace the contract requirements or authorized decision.
