About this template
Refrigeration and freezer log for food businesses. Combine actual temperature monitoring, deviation management, and follow-up for restaurants, cafes, shops, and commercial kitchens. The package contains editable Word files, searchable PDF files, and an Excel workbook with nine tabs. Important limitation: measured values and Excel highlights do not constitute an automated assessment of food safety or a complete HACCP plan.
01. Package contents
Total of 15 customer files: 7 standalone documents in editable Word (DOCX), 7 corresponding searchable A4 PDFs, and 1 Excel workbook (XLSX) with nine tabs. Five Swedish working documents, a Swedish guide, and an English User Guide. The main Swedish templates and Excel workbook are not translated into English.
02. What the files contain
Equipment and temperature log, deviation report with batch decision, corrective actions, thermometer check, and recurring internal review. Excel includes registers, manual entry of local temperature limits, a simple comparison formula, and a dashboard for administrative follow-up.
Decisions regarding the release, disposal, recall, or use of food cannot be automated by this template.
When is the temperature log suitable?
For food businesses that need to document refrigeration and freezer storage, check products and equipment, and follow up on deviations. It complements the business's actual routines, own risk assessment, and existing HACCP and self-monitoring plan; it does not replace them.

Excel – what works automatically?
The workbook has nine tabs and 300 prepared registration rows in each operational register. When you enter the measured value, local minimum value, and local maximum value, Excel compares whether the measurement is within the specified range. Missing limits result in "Not assessed". The dashboard summarizes registered entries and manually selected statuses. The functions have been tested with normal values, deviations, zero limits, and empty cells.
The formulas do not determine whether a product is safe, what should be disposed of, or whether a certain storage temperature is correct in the eyes of the law. No automatic alarms, SMS, external data feeds, or macros are included.
Practical workflow
- Register each refrigeration/freezer unit with a unique ID and establish which product- and business-specific temperature range applies with a documented source.
- Perform actual measurements using the specified method and note whether the value refers to the air, between packages, or the food itself.
- Register deviations and quarantine any affected products according to local procedures until a competent person has assessed them.
- Document decisions on release, disposal, or other handling with justification and the responsible assessor.
- Order and document the actual corrective action. Mark the follow-up check separately and follow up during the internal review.
Which rules apply?
Regulation (EC) No 852/2004 specifies basic food hygiene requirements. Among other things, temperature-sensitive food must be stored in a way that does not pose a health risk and the cold chain must be maintained, with relevant exceptions for certain practical handling steps. The Swedish Food Agency's guidance on temperature control explains differences between measurement methods and the importance of functioning equipment. Rules and suitable limits may differ between product groups, processes, and businesses.
Frequently asked questions
Is there a single statutory refrigeration temperature for all food?
No. Use the storage conditions that apply to the food in question, its labeling, and relevant specific rules. Product-specific conditions and the business's risk analysis may determine this.
Can Excel determine if food must be disposed of?
No. Excel compares a reading with the limits you specify yourself. Batch decisions require a separate fact-based assessment by a competent person, based on factors including temperature and exposure time.
Is the air temperature from the refrigerator display sufficient?
Not always. The measurement method should be chosen according to the purpose of the check. Air temperature, temperature between packages, and the food's own temperature are different measurements.
Are the PDF files fillable?
The files are searchable PDF versions for reading/printing; use Word for editing. Interactive PDF forms are not promised.
Is it an English food template?
No. The English User Guide helps English-speaking users understand the Swedish documents. The main templates and Excel workbook are in Swedish and adapted to Swedish businesses and applicable EU law.
