About this template

Supplier Bank Details Change & Verification 2026/2027 is a digital template package for Swedish businesses that want to handle changes to payment details from existing suppliers in a traceable and controlled manner. It includes request for change, independent callback, risk and block management, separate approval, register change and Excel register.

Price: SEK 79 – one-time purchase. You get 7 editable Word files (DOCX), 7 searchable PDF files and one Excel register (XLSX), delivered as a ZIP package. Total 15 customer files. Digital download, no physical product and no subscription.

Security limitation: A request via email or a changed bank number on an invoice does not confirm that the supplier themselves requested the change. The package assumes verification via a previously trusted contact channel, verification of mandate and a separate authorized decision. Neither the Word documents nor the Excel file independently authorize changing a bank account or sending money.

What do the document templates help you with?

When a supplier claims to have changed their bank account, bank giro or payment instructions, the finance function needs to distinguish received information from independent verification, decision and technical change. The package provides practical materials with case ID, masked account reference, verification sources, document chain and follow-up.

Excel register with nine tabs

Overview, Cases, Suppliers, Verification steps, Callback, Risk flags, Decision, Supporting materials and Read me. The overview counts registered cases and manual status values. On the Verification steps tab, ”Verification steps documented” is displayed only when the relevant checklist fields are marked as completed and no conflict is noted. In case of negative verification answers or documented conflict, ”STOP – investigate” is displayed. Missing verifications are displayed as ”Not completed”.

Very important: The status messages only show what has been registered in Excel; they do not verify the authenticity of a bank account, the legal authority of a representative or whether a payment may be made. No bank connection, macro code, ERP synchronization, automatic payment or technical payment block is included.

How to use the document package step by step

  1. Register request: fill in the supplier's existing ID, agreement, receiving channel and masked reference number. Save original communication securely.
  2. Retrieve previously trusted contact channel: use for example a previously verified supplier card or an agreement that existed before the request – not a new number in the incoming email.
  3. Perform independent verification: call back via the known contact source and document what has actually been verified, including the representative's mandate.
  4. Stop and escalate deviations: conflicting information, deviating accounts, lack of time or unexpected contact changes should be investigated. Any block is carried out in the company's own system by an authorized function.
  5. Document authorized decision: perform a separate internal review with verification and approval materials.
  6. Update and post-check: only an authorized user changes the register entry in the protected supplier system. Another person can post-check, and the case is closed with a traceable log.

Legal and information security

The Swedish Police Authority describes fake invoices and changed account numbers as risks in invoice fraud. The Accounting Act (1999:1078), Chapter 5, Sections 6–9 regulates verifications for accounting-liable business transactions. This package does not replace a verification, a supplier identity check required by other law, a bank approval or the company's actual approval procedure.

When contact details can be linked to identifiable persons, GDPR Article 5 applies, among others, regarding purpose limitation, data minimization, accuracy, storage limitation and appropriate protection. The templates therefore recommend masked account references and protected document IDs. The customer's full payment details are handled in an authorization-controlled system, not in shared Excel copies.

Frequently Asked Questions (FAQ)

Is it enough if the supplier emails a new bank giro?

No, a single email is not sufficient as secure verification. It may be forged or come from a hacked account. Verify the details independently through a contact channel that was already trusted before the request came in.

Can Excel automatically verify a bank account?

No. The workbook compiles manual verification steps and case status. It cannot determine who owns an account, verify BankID, retrieve bank details or transfer money.

Is ”Verification steps documented” an approved payment decision?

No. The status only means that certain fields in the checklist have been marked. A separate authorized assessment, possible approval and independent bank payment verification are always required.

Can I use the templates when something looks suspicious?

Yes, the document for risk deviation and proposed payment block helps to register the suspicion and escalate the case. The block itself, contact with the bank and possible police report must be carried out through actual procedures outside the package.

Can I enter the full IBAN number in Excel?

That is not the intention. The template uses masked references and document IDs. Full payment details should be handled according to the business's protected procedure and data protection rules.

Are the work documents translated into English?

No. The five work templates are in Swedish. You get a Swedish user guide and a separate English User Guide with English instructions. This is not a full English translation of the Swedish work templates.
