About this template

The Pool Maintenance Log & Water Test Record is a complete digital document package for private pool owners who want to collect water tests, filter observations, planned and completed checks, seasonal opening, winter closing, and actual costs. Document what is measured and done instead of relying on memory.

Important distinction: The log is an administrative tool. It does not automatically assess whether the water is safe for swimming, suggest chemical dosages, or replace the manufacturer's instructions, professional pool service, or electrical safety inspection.

01. Package Contents

5 Swedish work templates and 2 guides, all in editable Word (DOCX) and searchable PDF, plus 1 Excel workbook (XLSX) with 9 tabs. Total of 15 files: 7 Word, 7 PDF, and 1 Excel. The English file is a user guide – the work templates are in Swedish.

02. What the Files Contain

Pool card and equipment record, water test protocol for measured values, filter and circulation log, checklist for seasonal opening and winter closing, plus a deviation, action, and cost log. Excel consolidates the information and displays a reset overview that is built on your own data.

Excel Workbook with 9 Tabs

The workbook has the tabs Overview, Pools, Water Tests, Filter Checks, Maintenance, Season, Deviations, Costs, and Read Me. You can register up to 200 entries per worksheet and use a consistent Pool ID to distinguish between different swimming pools.

The overview counts the number of registered pools, documented water tests, tests with an actually recorded pH, completed and planned filter checks, completed maintenance, seasonal steps, open deviations, and actually paid costs. A quote or estimate is not counted as paid. No automatic approvals of water quality or chemical calculations are included.

How to Use the Pool Log

  1. Create a Pool ID and enter the type, equipment, and reference to the original manuals.
  2. Note the test date, test point, and measurement method when measuring water values.
  3. Enter the actually measured pH and, if applicable, free and total chlorine with the correct unit.
  4. For filter and maintenance logs, mark only actually performed checks as completed.
  5. Document seasonal opening, winter closing, and remaining work according to your pool equipment manual.
  6. Collect deviations and actual receipt amounts in separate records.

Water Quality, Chemicals, and Safety

The water test record is intended for measured values, not for entering universal ideal values or guaranteeing that the pool water is hygienically safe. The Public Health Agency's guidance on swimming pools applies primarily to swimming pools used by the general public or many people. Its target values should therefore not be used without question as an automatic approval scale for a private pool.

Follow product labels, safety data sheets, and instructions for your specific purification system. Never mix chemicals on your own initiative. If you suspect unsafe water: refrain from swimming and contact the relevant expert.

The Swedish Electrical Safety Authority's pool guidance highlights the correct protection for electrical equipment, residual current devices, and supervision of children. The documents do not replace professional electrical work, a check of protection against drowning, or a safety inspection.

Frequently Asked Questions

Can I register pH and chlorine in Excel?

Yes. The record has separate columns for measured pH as well as free and total chlorine in mg/l, when these values are relevant to your system.

Does Excel indicate if the pool water is safe to swim in?

No. One or more measured values cannot alone certify hygienic safety for swimming. No automatic limit value decisions are included.

Does the template calculate how much chlorine or other chemicals I should add?

No. No chemical dosages or mixing instructions are included. Follow the system's instructions and consult an expert if unsure.

Can I use the log for multiple pools?

Yes. Register a unique Pool ID for each pool and use it consistently in Excel.

Does Excel send automatic reminders?

No. The package contains no app integration, automatic measurement import, or notification service.

Are the PDF templates digitally fillable?

They are searchable and print-friendly, but have no interactive form fields. The Word files can be edited.

Are all templates in English?

No. The work templates and Excel are in Swedish. The English file is a separate user guide.
