How to Work with Project Changes
- Identify the existing baseline and register a change request.
- Evaluate time, cost, resources, safety, quality and alternative solutions.
- Determine who has the right to make internal decisions and whether the contractual counterparty's consent is required.
- Document the internal decision, conditions and external approvals separately.
- Implement the change only when the applicable start conditions are met.
- Track delivery, verification date, deviations and agreed budget changes in Excel.
What is a Change Request?
A change request (Change Request, CR) is a documented proposal to change, for example, the project's delivery, schedule, scope or budget. It can be rejected, returned for revision or approved according to the organization's decision-making process. This template is general for business projects and should not be confused with specific IT RFC or construction contract ÄTA procedures.
Legal Review and Sources
Important: Internal approval of a project change does not automatically mean that an agreement with the client or supplier has been changed. Check authority, contractual terms, formal requirements and consent in each case. According to the Swedish Companies Act, decisions may require the appropriate authorized body. If an operational change entails workplace safety risks, a documented risk assessment may be required under AFS 2023:1. Frequently Asked Questions (FAQ)
Does a signed project request automatically change a client agreement?
No. It depends on the terms of the agreement and who is authorized to represent the parties. Check in particular whether a supplementary agreement or other approval is required.
Can Excel show overdue activities?
Yes, if the measure has a CR ID, a valid Excel date as a deadline and the status is not Complete, it will be marked as overdue after the final date.
Is there a calculation of the new budget?
Yes. Enter the original budget and cost change. Excel then calculates the new amount. The calculation does not automatically approve the change.
Is the package suitable for IT projects or construction projects?
Yes, as general complementary administrative support. It does not replace specific regulations, IT change processes or ÄTA routines in construction contracts.
Are the documents in Swedish and English?
The five working templates and one user guide are in Swedish. An English reference guide is also included. The working templates are not fully translated into English.
