About this template
Scratches in the paintwork, a damaged wing mirror, or poor cleaning after a car wash? This digital document package helps you make a complaint about a car wash, request a damage investigation, follow up on remedial action, and specify any cost claims. The package contains five different Swedish letters, a Swedish guide, an English User Guide, and a macro-free Excel register with nine tabs.
Quick answer: Document the car before and after the wash if possible, keep the receipt and instructions, describe what happened, and contact the car wash in writing. If the service was performed incorrectly, the Consumer Services Act may apply. However, damage discovered after the wash does not automatically mean that the car wash company caused it. The Swedish Consumer Agency explains liability for damage after automatic and self-service car washes.
01 · Package contents
7 editable Word (.docx) + 7 searchable A4 PDFs (.pdf) + 1 Excel (.xlsx) = 15 customer files. Five Swedish letters, a Swedish guide, and an English user guide. The PDFs are searchable and printable, but are not interactive fillable forms. The Excel workbook contains nine tabs and no macros. Digital ZIP delivery after the product has been published and the delivery file linked in the store's download system.
02 · What the files contain
Separate letters for damage after washing, unsatisfactory cleaning, damage investigation, remedial action or price reduction, and specified compensation claims/invoice queries. The guides explain evidence, procedure, and the limits of the claims. Excel keeps together wash occasions, observed damage, evidence references, contacts, actions, and money – but does not determine whether the claims are legally justified.
Choose the right complaint letter for your situation
1. Scratch or missing part after an automatic car wash: Choose letter 01 to report observations, the receipt, and what you actually know about the incident. If the machine alarmed or the wash was interrupted, document it. Use letter 03 when the company's technical documentation is needed.
2. The brush in a self-service car wash may have damaged the paintwork: Describe how it was used and what instructions were provided. The Swedish Consumer Agency emphasizes that it is important whether the equipment was used according to the instructions. The damage itself does not establish liability.
3. Poor hand washing, interior cleaning, or detailing: Choose letter 02 and compare the work performed with the agreed scope. Let the car wash company assess the possibility of correction. Use letter 04 later for any remaining defects.
4. The company disagrees or a repair is needed: Gather an expert assessment and actual cost documentation; choose letter 05 for a separate and specified claim. Do not confuse a refund of the car wash fee with costs for physical damage to the car.

Excel register with nine tabs
START · Washes · Damage · Evidence · Contacts · Actions · Costs · Overview · READ ME. Each wash occasion can be assigned a unique case ID. You can document the type of wash, the car's previous condition, the date the damage was discovered, the supporting evidence, the company's actual response, and planned and completed actions.
Calculation example: A real complaint registered on November 1 and an actual response on November 5 gives 4 calendar days. If you register the requested price reduction of SEK 170 and documented repair cost of SEK 55, the total requested is SEK 225 in pure arithmetic terms. If the company has approved SEK 110 and paid SEK 50, the column shows SEK 60 as the difference. These amounts are not an automatic debt or established damages. No fictitious customer data is included.
What are the legal rules for car washing?
The Swedish Consumer Services Act (1985:716) generally applies to services on movable property, such as a car wash performed by a company for a consumer (Section 1). The company must perform the service professionally (Section 4). In the event of an actual defect, certain remedies may apply under Sections 16–22, but the evidence and circumstances must be assessed individually.
Complain in time: According to Section 17, the consumer must complain within a reasonable time after the defect was noticed or should have been noticed. A complaint within two months of discovery is always on time. The absolute deadline is normally three years after the completed assignment, with the law's special exceptions. It is not a recommendation to wait; document immediately after the incident.
Correction and price reduction: If a cleaning service is incorrect, the company may, under certain circumstances, be entitled to or required to remedy the defect without additional cost within a reasonable time (Section 20). A price reduction under Sections 21–22 presupposes special conditions and may not be treated as an automatic refund of the entire car wash price.
Paintwork and equipment damage: According to the Swedish Consumer Agency's car wash guidance, there must be evidence of a defect/cause to claim compensation for damage. In self-service car washing, the user's handling and instructions may play a role. Claims regarding physical damage to the car must be supported by actual repair documentation and an assessment of the causal link.
Invoice and separate damage: According to Section 19, the consumer may withhold as much of the payment as is necessary as security for claims due to a defect in the service. If, however, the wash itself was performed correctly but a separate damage has occurred, such a damage claim should normally be handled separately; it does not automatically give the right to refuse to pay the entire car wash fee. See also the Swedish Consumer Agency's guidance on separate damage and payment.
Six-step workflow
- Identify the right company. Keep the car wash receipt, the facility's name, registration number, and information about what type of wash was purchased.
- Collect evidence. Take photos with timestamps; keep the originals and describe the car's previous condition. Only record observations you can substantiate.
- Choose a letter. Start with letter 01 for damage, letter 02 for cleaning deficiency, or letter 03 if an investigation is needed.
- Send in writing. Edit the DOCX template and remove the square brackets and the instructional text on the first page. Save the sent version and attachments.
- Follow up on correction and costs. Note the company's actually received response, any inspection, offered correction, and substantiated amounts in Excel.
- Consider the next step. If the case is not resolved, ARN's motor area may be relevant. Check the current case category, normal value limit of SEK 1,500, and the one-year rule before filing a report.
Frequently asked questions about complaining about a car wash
Is the car wash company always liable if the paintwork is scratched?
No. Damage discovered afterwards needs to be linked to a defect or a relevant basis of liability. Document the actual incident, the equipment, the car's previous condition, and possible evidence.
Can I complain about damage from an automatic car wash?
Yes, you can complain and request an assessment of liability. The Swedish Consumer Agency describes examples of a damaged wing mirror after an automatic wash. Compensation presupposes that the company is actually liable for the damage.
Does the same apply if I used a self-service car wash?
It depends on whether a relevant defect and a causal link can be shown. Followed or violated instructions for brushes and high pressure can affect the assessment.
Can I get my money back if the car was not clean?
A concrete defect in an agreed cleaning service may give the right to remedial action and, under certain conditions, a price reduction. This does not automatically mean a full refund.
How long can I wait to complain?
Complain within a reasonable time after discovery. Two months is always on time according to Section 17 of the Consumer Services Act. The absolute deadline is normally three years for work on movable property, with statutory exceptions.
Can I withhold the entire car wash invoice for paintwork damage?
Not automatically. Payment withholding under Section 19 presupposes a claim due to a defect in the service. A separate physical damage may need to be handled as a separate compensation claim.
Does Excel calculate damages and the right to compensation?
No. Excel only sums up your own records, such as requested amounts, company-approved amounts, and actually paid amounts. Cause, evidence, and legal prerequisites must be assessed separately.
Are the letters in English and the PDFs fillable?
Five letters and a guide are in Swedish; a separate English User Guide explains the use. The PDF files are searchable and printable, not digital forms. Edit in Word.
