About this template

Has your armchair or sofa been reupholstered in the wrong fabric, received poor stitching, been damaged, or not returned on time? This digital document package helps individuals in Sweden make a complaint about a freestanding ordered furniture reupholstery or repair of their existing furniture, gather evidence, request an investigation, and address an unclear invoice.

Quick facts: Five Swedish working documents, a Swedish user guide and an English User Guide, all as editable Word (DOCX) and searchable, printable PDF without interactive form fields. Also an Excel workbook with nine tabs and 210 administrative formulas. 7 independent documents in two formats + 1 XLSX = 15 customer files. Swedish consumer law, version 1.0. Digital download as ZIP upon later activation of the product.

01 · Package contents

Five Swedish working templates, a Swedish user guide and an English User Guide, each as DOCX and corresponding searchable PDF. A separate Excel workbook with nine tabs is included. 7 DOCX + 7 PDF + 1 XLSX = 15 customer files. The PDF files are formatted versions of the Word documents, not seven additional legal working templates.

02 · What the files contain

Complaint about incorrect fabric upholstery, separate damage and value report, inquiry about a furniture item not yet returned, specified price/invoice objection, and a neutral submission and evidence protocol. The guides help you choose a letter and understand the legal limits; Excel records the requested, offered, approved, and actually received amounts separately.

What problem does the package help you handle?

Wrong material or poorly executed seams: You ordered reupholstery in a certain quality or color but receive a different result. Document 01 helps you describe the order, the actual deviation, and request investigation/remedy. Damage during work: New tears in the fabric, damaged frame, or other alleged damage is documented with before/after pictures and an expert opinion when necessary, without automatically establishing liability.

Delayed delivery of armchair or sofa: A submitted piece of furniture is not yet ready or cannot be picked up. Document 03 helps you request information about location, work, and schedule without assuming the furniture is lost. Unexpected invoice: Extra fabric, padding, or work has been added to the invoice. Document 04 can be used to request an itemized bill and object to specific items.

Choose another basis if the issue concerns a newly purchased armchair/sofa or if a company manufactures a completely new piece of furniture to order. The Consumer Sales Act and the terms of the contract may then be more relevant than the Consumer Services Act. See The Swedish Consumer Agency's guidance on complaining about furniture and home furnishings.

08 Excel – case and claim register Nine tabs and 210 administrative formulas Swedish XLSX

Excel – nine tabs for documentation and claims

The tabs are Overview, Cases, Furniture, Work Order, Deviations, Claims, Contacts, Actions, and Read Me. With 40 work rows on each relevant tab, you can collect order details, agreed fabric, condition before/after, agreed completion time, photo references, and contacts. The 210 formulas create administrative summaries and control signals.

Calculation example: 1,200 SEK in requested price reduction and 300 SEK in requested supported additional cost gives 1,500 SEK REQUESTED. If the company offers 700 SEK, 500 SEK is documented as approved, and 200 SEK is actually paid out, these steps are recorded in separate columns. Excel then shows 300 SEK remaining of the registered approved amount. It is not a judgment, established debt, or guarantee of compensation.

An invoice of 1,200 SEK against an approximate price quote of 1,000 SEK gives a control flag, not automatically an unauthorized overcharge. The law's rules on agreed other price limits and legal price surcharges may affect the assessment.

How to use the templates

  1. Collect quote, submission receipt, order, optional fabric sample, fabric/color code, dated photos, invoice, and messages.
  2. Choose the right working letter after the type of alleged deficiency: performance error, damage, delay, invoice, or neutral evidence journal.
  3. Fill in the Word version. Remove alternative text and brackets, check amounts and actual dates.
  4. Separate what can actually be observed from unclear causes and liability not yet examined.
  5. Send the complaint with tracking, save attachments and proof of sending, and document actual responses.
  6. Use Excel for follow-up, not to determine complaint deadlines, damages, or the furniture's actual market value.

Legal basis and limitations

A freestanding service where a business operator reupholsters or repairs a consumer's existing loose furniture is normally covered by the Consumer Services Act (1985:716) (§ 1). However, the law does not cover the manufacture of new loose items or work performed to fulfill a purchase of goods (§ 2). Professionalism follows from § 4; defects and possible consequences are treated in among others §§ 9 and 16–23, delay in §§ 24–31, and price in §§ 36–41. Also read The Swedish Consumer Agency's guidance on complaining about incorrect services.

Complaint period: The complaint must be sent within a reasonable time after the consumer discovered or should have discovered the defect. A complaint within two months after discovery is always on time. For work on a loose item, the latest limit is normally three years after the assignment was completed, with the law's exceptions (§ 17).

Price quote: Fixed, approximate, and ongoing prices are different. With an approximate price, the amount may not exceed by more than fifteen percent as a rule, but another agreement or legal price surcharge according to § 38 can change the answer (§ 36). The consumer can request an itemized bill according to § 40; a timely request can affect the time of payment according to § 41.

Compensation and security: Damage to fabric, frame, or furniture does not automatically mean the company is liable or that the previous purchase price should be fully compensated. Remedy, price reduction, rescission, withholding payment, and damages have different conditions. An unstable piece of furniture should not be used before a professional has checked the risk. The actions do not replace furniture inspection or individual legal advice.

Frequently asked questions

Can I complain about wrong fabric or poor stitching?

Yes, when a freestanding reupholstery does not correspond to what was agreed or was not performed professionally, there may be a defect in the service. Document fabric choice, order, and actual result, and complain within a reasonable time.

What do I do if the sofa or armchair is not returned?

The inquiry letter helps you request a documented schedule and location for the furniture. Delay is not automatically permanent loss; cause, agreement, and possible costs are investigated separately.

Can I demand the full purchase price if the furniture has been damaged?

Not automatically. Age, condition, possible expert value, actual damage, and causation can affect a claim for compensation. A special assessment may be required for antiques or designer furniture.

What if the upholsterer charges for extra fabric?

It depends on the price basis, what was agreed, and any rules on additional work. Request an itemized invoice and document exactly which changes you have approved.

Are the PDF files digitally fillable?

No. They are searchable and printable but lack interactive form fields. Edit in the Word versions.

Are the working templates available in English?

No. The five working templates and Excel are in Swedish. Only the English User Guide is a separate English user guide.

Is Excel an automatic legal claim calculation?

No. Excel summarizes registered amounts and shows control signals; it does not examine legal liability, approval, reasonableness, or prescription.
