RFI, RFP, and RFQ – What Is the Difference?
RFI collects information about possible solutions and the supplier market. RFP requests a more complete solution, implementation plan, and commercial proposal. RFQ is often used to request pricing when the scope of the product or service is already clearly defined. The existing RFQ product in the Template Store is therefore a complement, not the same package.
How to Use the Package
- Collect market information and possible solution models via the RFI.
- Determine clear and verifiable mandatory and desirable requirements.
- Send a version-controlled RFP with the same substantive requirements to the relevant suppliers.
- Record supplier responses, any reservations, and questions in Excel.
- Evaluate against predetermined criteria and actual evidence.
- Keep the internal recommendation and supplier selection separate from a separate binding agreement or order.
Legal Limitations – Swedish Contract Law
Important: The templates are intended for private B2B procurement. They are not complete procurement documents under the Public Procurement Act (LOU), the Public Procurement Act for Public Utilities (LUF), the Public Procurement Act for Public Enterprises (LUK), or the Public Procurement Act for Public Sector Organizations (LUFS); some private organizations may also be subject to procurement rules. An RFI or RFP does not have a predetermined legal effect solely by its name. An assessment of bids, acceptance, revocation, and binding effect should be made in accordance with, among other things, the Contracts Act (1915:218) and the circumstances of the individual case. The expression “without obligation” should also be handled carefully with regard to Section 9 of the Contracts Act.
