Excel Register – Nine Tabs and Status Checks

Overview, Meetings, Committee Members, Issues, Decisions, Actions, Follow-up, Sources and Read Me. The Excel overview counts meetings, active committee members, issues, decisions, overdue actions, and verified actions. Action status distinguishes between In Progress, Completed but Not Verified, Verified, Blocked, and Check Date. Entered dates must be valid Excel dates. The register is an administrative tool, not an automatic assessment of compliance with workplace environment laws.

When Should a Safety Committee Be Established?

According to the Work Environment Act (1977:1160), Chapter 6, Section 8, a safety committee must be established where at least 50 employees are regularly employed at a workplace. A safety committee must also be appointed at smaller workplaces if the employees request it. The employee representatives are appointed by the competent local employee organization, or by the employees if no such organization exists.

According to Chapter 6, Section 9, the committee shall, among other things, address occupational health services, workplace environment action plans, changes to premises and work organization, hazardous issues, workplace environment training, and workplace adaptation and rehabilitation. According to Section 9a, a collective agreement may provide for a cooperation body with a different name and a broader mandate. Always check the actual agreement.

What Rules Apply to Meetings and Decisions?

The Work Environment Ordinance (1977:1166), Section 8 states that the number of committee members depends on the number of employees, the nature of the work, and the working conditions. According to Section 9, a committee member may request that a disputed issue be referred to the Swedish Work Environment Authority within the authority’s powers. Decisions should state when the decision is to be implemented. According to Section 10, the employer shall announce the names of safety representatives and committee members at the workplace.

Important: The package does not prescribe a universal number of meetings per year, a standard committee size, or an automatic assessment of obligations. The employer’s obligation to conduct systematic workplace environment work remains regardless of the committee’s minutes. Handle personal data with restricted access and minimize data in accordance with IMY’s data protection principles.

Frequently Asked Questions

What Is a Safety Committee?

A cooperation body with representatives for employers and employees that monitors and participates in the planning of workplace environment work.

How Many People Must Serve on the Committee?

There is no single fixed number that suits all workplaces. According to Section 8 of the Work Environment Ordinance, the number is determined with regard to factors including the number of employees and working conditions.

Does the Safety Committee Need to Meet Every Month?

The template does not establish a general statutory meeting frequency. Use the law, any collective agreement, and the actual workplace environment needs to determine the local routine.

What Happens if the Committee Members Disagree?

A committee member may request that an issue be reviewed by the Swedish Work Environment Authority to the extent that the issue falls within its powers under Section 9 of the Work Environment Ordinance.

Can the Committee Replace the Employer’s Systematic Workplace Environment Work?

No. Cooperation and minutes are not a substitute for actual risk assessments, actions, or the employer’s responsibilities.

Are English Working Documents Included?

The working templates are in Swedish. A separate English User Guide is included to facilitate use.
