Excel Register – Nine Tabs

Overview, Systems, Inspections, Operation Log, Service, Non-compliance, Remedial Actions, Control Plan, and Read Me. Each work register has 200 empty rows and clear fields for ID, requirement sources, and report references. The overview automatically displays 14 follow-up metrics. The delivered XLSX file contains no macros, personal data, or fictitious systems.

How to Use the Sprinkler Log

  1. Inventory the actual sprinkler system with the system ID, documents, drawings, system certificate, and responsible functions.
  2. Determine the applicable standard edition and inspection/service requirements according to actual system documents, insurance terms, agreements, and any government decisions.
  3. Record the booking and order separately from the actual inspection performed. Refer to the inspection firm's own original certificate.
  4. Document only reliable administrative observations and received error messages, not technical maneuvers.
  5. Monitor non-compliance and follow up on service and remedial action reports until the appropriate responsible person has verified the actual result.

Legal Basis and SBF 120:9

The Swedish Accident Protection Act (2003:778), Chapter 2, Section 2 stipulates that owners and users shall, to a reasonable extent, maintain necessary fire-fighting and life-saving equipment and take measures to prevent fire and limit fire damage.

SBF 120:9 is the Swedish Fire Protection Association's standard edition for automatic water sprinkler systems, which came into effect on April 1, 2026. It covers, among other things, requirements for documentation, care, maintenance, and inspection. Which edition and what inspection intervals apply to a given system are determined by actual building and contractual conditions; the industry standard is not in itself a universal law on intervals for all existing systems.

The Swedish Work Environment Authority's regulations on automatic extinguishing systems may be relevant in applicable design or construction matters, but must not be described without justification as retroactive requirements for every existing system.

Safety Limitation: This is an administrative documentation package, not an operating instruction for manipulating valves or pumps, performing flow tests, disabling alarms, or conducting functional testing. It does not provide a system certificate, inspection certificate, technical approval, or qualification certificate.

Frequently Asked Questions

How often must a sprinkler system be inspected?

Inspection intervals must be determined based on the applicable SBF regulations, requirement-setting bodies, insurance terms, manufacturer and system instructions, and actual decisions. The template therefore does not specify a general interval for all installations.

Is SBF 120:9 a Swedish law?

No. It is an industry standard from the Swedish Fire Protection Association, which may be binding through agreements, fire protection solutions, or other relevant requirements. LSO and applicable regulations are assessed separately.

Is an ordered inspection the same as an approved inspection?

No. The order, completed assignment, received certificate, and certified result are separate data points and follow-up metrics.

Can I perform sprinkler testing myself using the template?

No. It contains no technical testing or maneuvering instructions. Follow the actual system's operating instructions and hire qualified personnel where required.

Can Excel replace the system operator's log or inspection report?

Excel facilitates consolidated record-keeping but does not replace the documents required by actual system documentation or external inspection firms' certificates.

Do the documents work without macros?

Yes. Word is editable, PDF is searchable, and Excel uses standard spreadsheet formulas and status selections.

Are the PDF forms electronically fillable?

The PDF files are searchable and printable. They are not intended as interactive PDF forms. Use DOCX for editable completion.

Are English work templates included?

An English User Guide is included that explains the Swedish work templates. The work templates themselves are in Swedish and developed for Swedish conditions.
