About this template

Response to a B2B invoice dispute is a digital document package for Swedish businesses that have issued an invoice and need to respond to a customer's objection. It covers the seller's administrative workflow: confirmation of receipt, investigation, substantive response, decision on any correction, and follow-up in Excel.

This product is not the same as a template for disputing an invoice yourself as a buyer. It is also not a debt collection demand, a completed credit invoice, or a process notice. The company must check the actual contractual basis, applicable rules, and the customer's objection before pursuing any claim.

When are the templates suitable?

For example, when a business customer disputes a service invoice due to alleged errors, incorrect pricing, non-delivery, prior payment, or unclear scope. The templates help the company separate known facts from matters that still need to be investigated. They are limited to private B2B relationships under Swedish law.

01. Package contents

15 customer files: 7 editable Word (.docx) files, 7 corresponding searchable and printable PDF files, and 1 Excel workbook (.xlsx) with nine tabs. The operational templates are in Swedish. An English User Guide is included, but it is not a legally adapted English version of the forms.

02. What the files contain

Notice of receipt, internal investigation of allegations and evidence, response to dispute, limited credit/correction notice, reconciliation for a partially disputed invoice, two guides, and an Excel register for cases, objections, invoice lines, supporting documents, communication, decisions, and actually issued credit notes.

Excel register with nine tabs

Dashboard, Cases, Objections, Invoice Lines, Supporting Documents, Communication, Decisions, Credits, and Read Me. The workbook contains status fields, controlled manual data entry, and formulas for simple arithmetic summations. Credits are included in the total only when the user has marked them as actually issued.

Important: Amounts recorded in Excel are not legally admitted or established claims. A figure for a partially disputed invoice cannot be used as evidence that a customer has accepted the remainder. Excel does not calculate interest, prescription, payment deadlines, or legal enforceability.

How to use the package

  1. Identify the objection and, if necessary, send a neutral confirmation of receipt.
  2. Check the agreement, order, delivery, payment status, and original invoice.
  3. Investigate the factual and legal basis of the objection point by point.
  4. Decide on a response, supplement, rejection, or possible correction with the authorized decision-maker.
  5. If an amended invoice is required, issue it correctly in the accounting system—not in the Word document.
  6. Document the response, actual communication, and any separate debt collection/litigation management.

Legal and important limitations

For debt collection activities, the Debt Collection Act (1974:182) applies, including Section 4 on proper debt collection practices and Section 8 on claims that appear unjustified. The Swedish Financial Supervisory Authority's FFFS 2025:2, especially Chapter 5, Sections 4–8, contains rules on handling objections for those who conduct debt collection activities or are otherwise covered by the scope of the regulations. These rules should not be confused with ordinary customer service contact.

The Interest Act (1975:635) may be relevant for payment and late payment interest, but the concrete due date, any agreements, and other conditions must be examined. The templates therefore do not use any preset interest rates or legal deadline calculations.

If the original invoice is amended, the Value Added Tax Act (2023:200), Chapter 17, Sections 22–23 and the Swedish Tax Agency's guidance on amended invoices may be relevant. An internal credit form or customer letter is not automatically a correctly issued amended invoice.

Frequently Asked Questions

What should be done when a customer disputes an invoice?

Document the objection, identify the invoice, and review what the customer actually alleges. Check the agreement, delivery, and any payments before providing a well-founded response. If the matter is already covered by debt collection, special requirements apply.

Is a disputed invoice automatically invalid?

No. An objection does not in itself mean that the claim ceases to exist, but may require a substantive investigation and affect which collection measures are appropriate and permitted. Assess the concrete basis.

Can payment be demanded for the undisputed part?

This requires an individual assessment of the agreement, the wording of the objection, and the actual circumstances. An objection to certain lines is not automatically an express admission of the remainder.

Is a credit invoice included?

No. An editable basis for decision and communication is included. An actual credit note/amended invoice must be created and recorded with correct references in the accounting system.

Can I use the Word file as a debt collection demand?

No. The receipt and response forms were not designed as debt collection demands or enforcement documents. Special rules on debt collection measures must be checked separately.

What programs are required?

A Word-compatible program for editable DOCX files, a PDF reader for PDF files, and an Excel-compatible program for XLSX. Functionality may vary between different spreadsheet programs.
