About this template

Has a train been delayed or canceled? Use Swedish document templates to document actual arrival times, request a review of delay compensation, choose the correct option for a canceled journey, and compile substantiated expenses. The package is suitable for travelers whose train journey is covered by EU Regulation 2021/782. It is not a general template for all Swedish local public transport, and no amounts are guaranteed or determined automatically.

Quick facts: 7 independent documents in Word (DOCX) with 7 corresponding searchable, printable PDF files and an editable Excel workbook (XLSX) with nine tabs: 15 files in total. Five Swedish working templates, one Swedish guide, and one English User Guide for the Swedish documents. The PDF files lack interactive form fields. Planned digital ZIP download after separate activation.

01. Package contents

Five Swedish working documents: claim letter for delayed train, canceled train – refund or rebooking, expenses and receipts, travel incident and evidence log, and follow-up letter in case of rejection. One Swedish and one English user guide complement the material. All seven documents are available in DOCX and PDF, plus a Swedish XLSX register with nine tabs.

02. What the files contain

Fields for traveler, booking number, railway company, route, planned and actual arrival, cancellation notice, chosen rebooking or refund option, receipt ID, claimed amount, actual payment, and evidence references. Excel keeps claimed amounts and confirmed payments separate. No formula assesses the right to compensation.

Who should choose the template – and who should choose something else?

Suitable for: those who traveled on a covered train service delayed by at least 60 minutes and want to request that the railway company review potential compensation; or those whose train journey was canceled and need to document the choice of refund or rebooking. Not directly suitable for: domestic transport services whose route is shorter than 150 km and where special Swedish rules apply; disputes over a separate package travel agreement, general public transport delays by bus/tram, or claims for lost luggage.

Important Swedish limit: according to Act (2015:953), Section 4, among other things, Articles 17–20 of the EU Regulation shall not apply to domestic transport services with a route under 150 km. They may instead be covered by special Swedish provisions, with different conditions and thresholds. The limit refers to the transport service's route, not automatically the traveler's own traveled distance. The Swedish Consumer Agency explains the difference.

The Excel tool – what is actually calculated

The workbook contains Read Me, Overview, Cases, Travelers, Incidents, Expenses, Claims, Communication, and Evidence. It counts registered cases, claims, and expenses and sums manually verified SEK amounts. The original currency is saved separately. A verified test with a registered expense of 200 SEK and an actually received refund of 50 SEK resulted in an administrative difference of 150 SEK – not a judgment, approval, or proof of the right to the remaining 150 SEK. Excel does not calculate legal deadlines, route length exceptions, or flat-rate compensation.

How to use the package

  1. Check the ticket, route, international/domestic nature of the journey, and whether EU 2021/782 applies.
  2. Gather planned and actual arrival times, messages from the railway company, and the booking receipt.
  3. Choose the correct working template: delayed train, canceled departure, or follow-up. For a canceled journey – clearly choose between the applicable main options for refund and rebooking.
  4. Fill in only verified facts and specify separate claim types and receipt-backed expenses.
  5. Send to the correct railway company via the appropriate complaint channel and save a copy, date, and receipt.
  6. Register only actually received payments as paid. Assess responses, exceptions, and any continued dispute resolution separately.

Legal terms, exceptions, and legal sources

EU Regulation 2021/782 regulates, among other things, Article 18 on refund and rebooking, Article 19 on delay compensation, and Article 20 on assistance. For services and situations covered by Article 19, a delay of 60–119 minutes may entitle you to at least 25 percent and 120 minutes or more to at least 50 percent of the relevant ticket price. Compensation may be affected by, among other things, ticket refund, advance information, extraordinary circumstances, and other exceptions. A cost incurred by the traveler themselves is not automatically compensated. EU's official passenger guide explains important conditions.

The choice of refund or rebooking under Article 18 is not the same as delay compensation under Article 19. The option for an alternative journey of your own if rebooking is not offered within the special 100-minute situation includes specific conditions and does not automatically mean a taxi or flight. The railway company's justification and evidence may be decisive in exceptions to compensation.

Frequently asked questions

Can I get money back if the train is an hour late?

Yes, there may be a right to compensation for an arrival delay of at least 60 minutes for a covered train service. Article 19 has levels of 25 and 50 percent, but the right must be reviewed against the ticket, actual delay, applicability, and exceptions.

Do EU train rules apply to all short domestic journeys in Sweden?

No. For certain domestic transport services with a route under 150 km, special Swedish rules apply instead of the relevant compensation articles in EU 2021/782. Check the route length and correct regulatory framework before sending.

Are refund and delay compensation the same right?

No. Article 18 deals with refund/rebooking in specified situations; Article 19 deals with compensation for certain delays. The same ticket should not arbitrarily be both refunded and simultaneously automatically calculated for compensation under Article 19.

Do I always get compensation if I buy another ticket?

No. Alternative transport under certain conditions in Article 18 and assistance under Article 20 must be reviewed separately. A receipt is not sufficient on its own as proof of legal compensation.

Does Excel determine how much the train company owes me?

No. Excel only sums entered, manually verified amounts and keeps claims separate from received money. Neither the right to compensation nor any other legal assessment is automated.

Are the claim letters translated into English?

No. The working templates are Swedish. The English guide explains how to use the Swedish documents and does not mean the package contains English claim letters.
