About this template

Outdoor Furniture & Park Benches – Furniture Register, Damage Inspection, and Action Log

Outdoor Furniture & Park Benches – Furniture Register, Damage Inspection, and Action Log is a digital package of document templates for housing cooperatives, landlords, and property managers who need to inventory common benches, tables, and other outdoor seating in common areas. Document visible damage, cracked seat slats, sharp fittings, and suspected tip-over risks; order service and track what has actually been completed. The package is intended for administrative control, not technical load-bearing testing, playground inspections, or the issuance of safety certificates.

Quick Facts: 5 Swedish work templates, one Swedish user guide, and a separate English User Guide, each in editable DOCX and searchable A4 PDF format. Also included is a nine-tab XLSX workbook. Total of 15 customer files in a digital ZIP. The main templates are in Swedish, while the English guide explains how to use the Swedish templates. Version 1.0 · November 6, 2026 · Swedish law.

01. Package Contents

Five Swedish work documents: 01 Furniture Register – park benches and outdoor furniture; 02 Visual damage inspection – benches and outdoor furniture; 03 Defect report and temporary protective measure; 04 Service order – outdoor furniture and park benches; 05 Completion certificate and separate follow-up inspection. Two guides: 06 Swedish user guide and 07 English User Guide. All seven documents are provided in both DOCX and searchable A4 PDF format. Excel: 08 Outdoor furniture and park benches – furniture register and actions, with nine tabs. 7 DOCX + 7 PDF + 1 XLSX = 15 files.

02. What the Files Contain

Fields for property, Location ID, unique Furniture ID, furniture type, actual known anchoring, material, visible cracks, corrosion, protruding screws, suspected tip-over risk, documented protective measure, service order, completion certificate, and separate follow-up inspection. Excel compiles administrative key metrics and flags duplicate IDs. Ordered ≠ completed ≠ follow-up inspected. “No visible defects” is not a guarantee of the structure’s load-bearing capacity, stability, or child safety.

Who Is the Package For?

Housing cooperative: The board has seating and picnic tables in the courtyard and wants to know who is responsible for each piece of furniture. A registered Furniture ID allows defect reports and service orders to be tracked without personal data. Landlord: A bench has cracked boards after winter. The property manager documents the actual observation and ensures that urgent risks are addressed immediately. Technical property manager: The contractor reports that a seat slat has been replaced but the fastening has not been checked. The work is marked as documented, while technical uncertainty and separate follow-up inspection remain open.

Do not choose this product for swings, climbing frames, playground inspections according to playground standards, expert safety inspections of fall protection, load testing of fixed seating structures, or a legally binding statement on owner liability. Other specific regulations and standards apply to playground equipment.

Editability: Word files can be edited in a compatible word processor. The PDF versions are searchable A4 print files without fillable PDF form fields. XLSX requires spreadsheet software that supports the workbook’s formulas and data validations. Full compatibility with all software versions and mobile apps is not verified.

Excel – Nine Tabs, 714 Formulas, and Seven Registers

The tabs are named Overview, Furniture, Locations, Inspections, Deviations, Work Orders, Completions, Follow-up Inspections, and Read Me. Seven registers each contain 100 empty input rows with separate status lists and automatic ID checks. The formulas flag DUPLICATE when the same ID is used on multiple rows; conflicting identities are not counted as unique pieces of furniture.

Actual functional test: Two entries with Furniture ID UM-001 were flagged as DUPLICATE, and a third, unique entry was counted as a conflict-free item. A work order with the status Ordered was not counted as a completion, and a registered follow-up inspection was counted separately. All fictitious test data has been removed. The customer file is delivered with empty registers and zeros in the overview. Excel does not perform any automatic legal or technical risk assessment.

Practical Seven-Step Workflow

  1. Establish responsibility: Find out which pieces of furniture are included, who owns them, and which function is responsible for maintenance and risk management.
  2. Inventory: Assign each bench, table, or piece of seating a unique Furniture ID and a verifiable location. Note whether it is actually permanently installed or movable.
  3. Document safely: Perform a simple visual damage inspection without rocking, climbing on, load testing, or dismantling suspected unsafe furniture.
  4. Address personal risk: In the event of protruding screws, cracked boards, or suspected tip-over risk, the responsible party should implement an appropriate actual protective measure according to local procedures without waiting for administrative order closure.
  5. Order action: Create a specific service order, enter the exact Furniture ID, and describe whether the issue requires technical expertise or documentation from the manufacturer.
  6. Acknowledge completion: Record what the contractor actually did and also note any uncompleted items.
  7. Follow up: Perform a separate documented follow-up and keep questions about anchoring and load-bearing capacity open until the appropriate competence has assessed them.

Swedish Law – What Applies to Outdoor Furniture on a Property?

Property maintenance: The Planning and Building Act (2010:900), Chapter 8, Section 15 states that a property must be kept in a well-maintained condition and managed so that accident risks are limited. The Swedish National Board of Housing, Regional and Urban Development’s guidance on neglected properties describes municipal supervision and how the requirements are applied. According to Chapter 8, Section 16, similar requirements for maintenance and care shall apply to a reasonable extent to public places and areas for installations other than buildings.

Structure versus loose furniture: Chapter 8, Section 14 applies to the maintenance of structures when the actual arrangement is classified as such. It is not correct to automatically assume that every movable park bench is a structure. Classification, contractual responsibility, and local circumstances must be assessed individually.

Seating on or near playgrounds: The Swedish National Board of Housing, Regional and Urban Development describes specific requirements for playgrounds and fixed play equipment. A common bench is not automatically a piece of playground equipment, but a concrete risk where children are present still needs to be addressed. This template is not a playground inspection or a standard-compliant assessment.

Intervals and safety: The package does not promise a general statutory weekly interval, a standardized minimum load-bearing level for all outdoor furniture, or automatic approval of any anchoring. A visual observation cannot certify stability or tip-over safety.

Difference from Other Mallbutiken Products

For Playground Inspection & Safety Inspection, there is a separate specialized product. Ground Cover & Walkways refers to walking surfaces and ground damage. Tree Inventory & Care Log applies to tree safety and care. This package is instead specifically for individual benches, tables, and common outdoor furniture.

Frequently Asked Questions

Can a housing cooperative use this template for park benches?

Yes. The templates are designed for common administrative inventory, visual damage inspection, action ordering, and documented follow-up inspection for furniture in courtyards and common areas, for example.

Must all park benches be inspected every week according to Swedish law?

No general national weekly interval has been verified for all common seating. Establish a suitable internal routine based on risk, maintenance responsibility, use, and actual conditions.

Can Excel certify that a bench is stable and safe to sit on?

No. Excel records data and statuses. Technical load-bearing capacity and anchoring require expert assessment when necessary.

Does playground inspection and swing inspection apply?

No. Playground equipment and fixed play equipment may be covered by other regulations and safety standards and are not included in this package.

Is ordered service the same as completed repair?

No. The order, actually completed work, and follow-up inspection are in separate forms and Excel registers.

Are the PDF files digitally fillable?

No. The PDF versions are searchable A4 files for reading and printing, while the DOCX files can be edited.

Are all work forms available in English?

No. Five work forms and one Swedish guide are in Swedish. A separate English User Guide explains the Swedish forms and their use.
