About this template

Welcome package and member induction for non-profit organizations – editable Word templates, searchable PDF files, and an Excel tool to provide new members with a clear introduction after membership has already been approved. For boards, membership administrators, and membership officers in Swedish non-profit organizations.

Important: The templates do not create membership, voting rights, or other membership rights. These are governed by the organization's actual bylaws and authorized decisions. The product does not replace a membership application or admission review.

When is the welcome package suitable?

Use the package when the organization wants to welcome admitted members, provide accurate contact details, explain the organization's activities, offer an introductory activity, and track which information steps have actually been completed.

If you need to receive applications and document admissions instead, choose membership application for non-profit organizations. To manage approved membership fees, see membership fees and payment reminders.

01. Package contents

Five practical template and working documents, a Swedish user guide and an English User Guide – all in Word and corresponding searchable PDF – as well as an Excel workbook with nine tabs. 7 DOCX + 7 PDF + 1 XLSX = 15 files. Word and PDF are two formats of the same seven documents.

02. What the files contain

Welcome letter, induction plan, bylaws check, member information, checklist and optional acknowledgment, activity invitation, communication and follow-up plan, and guides. Excel tracks internal cases, mailings, activities, questions, actions, and checkpoints – without automatically determining membership status or legal compliance.

Excel – verified functions

The workbook counts registered induction cases, manually confirmed statuses, completed/followed-up activities, and provides a simple calculation for activity follow-up. Status lists and formulas have been tested against fictitious entries. Excel does not determine whether a membership is valid, whether a task may be processed in accordance with GDPR, or whether an action is legally approved. No test persons remain in the customer file.

How the templates are used

  1. Check the bylaws, actual membership category, and that an admission decision has already been made.
  2. Customize the welcome letter and member information. Check each item regarding fees, voting rights, and contact channels.
  3. Finalize the communication plan and relevant data protection assessments.
  4. Send information through the appropriate channel and offer an optional introductory activity.
  5. Document sent or offered information separately from confirmed receipt.
  6. Follow up on questions and completed actions in Excel.

Legal prerequisites

For Swedish non-profit organizations, the bylaws and the organization's decisions are decisive for internal organization and membership terms. When processing personal data, the organization must identify the purpose, legal basis, information provided to the data subject, and appropriate protection in accordance with GDPR. Particular care is required if membership may reveal sensitive data or if individuals have protected contact details. Separate regular member information from advertising and other marketing.

Frequently asked questions

Does someone become a member by signing the welcome letter?

No. A welcome letter is an information document. Membership is assessed according to the bylaws and actual decisions.

Can all members vote at the annual general meeting?

Not automatically. Check the organization's bylaws, membership categories, and any conditions before describing voting rights.

Is Excel a membership register?

No. It is an administrative follow-up tool with internal reference IDs. Even such IDs may constitute personal data if they can be linked to individuals.

Are the PDF files fillable?

The PDF files are searchable and intended for review and printing. Editing is primarily done in the accompanying Word files. Interactive PDF forms are not provided.

Are English membership templates included?

No. The English User Guide is an English user guide for the Swedish templates and does not mean that the documents apply under foreign law.
