About this template

Water spouts and outdoor faucets – document templates for seasonal rounds, leaks and service

Water Spouts & Outdoor Faucets – Spout Register, Leakage Round and Service Log is an administrative template package for Swedish housing cooperatives, landlords and property managers who need to inventory outdoor faucets, document visible leaks, plan seasonal inspections, order repairs and follow up on work actually performed. The packages keep ordered, performed and post-inspected separate.

Quick answer: 7 editable Word files (DOCX), 7 corresponding searchable A4 PDFs and one Excel register (XLSX) with nine tabs. Total of 15 customer files delivered in a ZIP after manual activation. The five work documents and the Swedish user guide are in Swedish. A separate English User Guide explains the use of the Swedish documents; it does not replace English translations of the work templates.

01. Package contents

Five Swedish work templates: (1) Spout register and location card, (2) Seasonal round for leaks and frost risk, (3) Fault report and damage mitigation, (4) Service order for water spouts, (5) Completion certificate and post-inspection. In addition, (6) Swedish user guide and (7) English User Guide are included. Each document is available as an editable DOCX and a searchable A4 PDF. (8) An Excel tool with nine tabs is also included. Total 7 DOCX + 7 PDF + 1 XLSX.

02. What the files contain

Fields for property, Location ID, unique Spout ID, manufacturer (if confirmed), actual hose connection, drainage specification and source, observation of dripping, visible damage, actual protective measure, service order ID, completion certificate and separate post-inspection. Excel flags duplicate IDs and summarizes administrative statuses. A dry faucet during a visual inspection is not verification of frost-safe drainage or professional installation.

Who is the template package for?

Housing cooperative: An association has several common water spouts at facades and in the courtyard. Each faucet gets its own ID, location and responsible service contact. Property manager: An autumn round shows dripping, suspected frost cracks or a left hose. The observation is registered with date and risk without the inspector themselves attempting to perform technical work. Contractor: A plumbing company reports back on service with a document reference. The property manager separately post-inspects and leaves any uncertain technical questions open.

Choose another product if you primarily need a comprehensive system for water shut-off valves, a general frost risk round of the building, valve register, testing of tap water systems or plumbing design documentation. This package applies to the identification and documented management flow of the individual outdoor faucet, not a technical dimensioning method.

Exact file list

File Function Language Format
01 Spout register and location card Unit ID, location, model with source, access and responsibility Swedish DOCX + PDF
02 Seasonal round – leaks and frost risk Actual observation of dripping, damage, hose, not inspected Swedish DOCX + PDF
03 Fault report and damage mitigation Leakage report, concrete risk, contact and performed protective measure Swedish DOCX + PDF
04 Service order for water spouts Ordered plumbing intervention, scope, competence and desired documentation Swedish DOCX + PDF
05 Completion certificate and post-inspection Actually performed work, documentation and separate result control Swedish DOCX + PDF
06 Swedish user guide Seven steps, five practical scenarios and legal boundaries Swedish DOCX + PDF
07 English User Guide Instructions for the Swedish work forms English DOCX + PDF
08 Excel tool Nine tabs with register, ID control, status selection and summary Swedish XLSX

The PDF files are searchable A4 files for reading and printing, not digitally fillable PDF forms. DOCX can be edited in compatible word processors. XLSX uses formulas and data validation; not all program versions and mobile spreadsheet apps have been tested.

Excel with nine tabs and automatic control formulas

The tabs are named Overview, Spouts, Locations, Rounds, Deviations, Service Orders, Completions, Post-Inspections and Read Me. The seven registers each have 100 empty input rows, customized status lists and an ID control. The workbook contains 724 formula cells and 7 status validations for a traceable administration flow.

Function test: Two rows with the same Spout ID were marked DUPLICATE, while a third unique identity was counted separately. A service order with status Ordered was registered in its own category and was not counted as performed. A post-inspection is a separate activity. All fictitious test entries have been removed and the customer file opens with zero in the summary.

How the documents are used – from seasonal inspection to completion

  1. Inventory: Enter building, facade, neutral Spout ID and which function is responsible for each outdoor faucet.
  2. Confirm data: Note model, water source and drainage function only when a source exists; otherwise write “Not verified”.
  3. Inspect safely: Document visible dripping, moisture, corrosion, cracks and connected hose from a safe position without improvised disassembly.
  4. Handle acute risk: In case of leakage, frost damage or water damage risk: contact the responsible person and follow the local routine for immediate damage mitigation.
  5. Order plumbing service: Describe the actual deviation, desired action, competence boundaries and what technical documentation should be reported back.
  6. Acknowledge completion: Register the actual plumbing intervention separately from the original service order and payment.
  7. Post-inspect: Document actual observation, expert documentation and remaining questions – without giving a general guarantee for frost or leak safety.

Legal and industry prerequisites

Maintenance of buildings: The Planning and Building Act (2010:900), Chapter 8, Section 14, contains a general obligation to maintain buildings and primarily preserve their relevant technical properties. The applicability to a specific measure, unit and installation may be assessed based on actual conditions.

Frost damage-safe installation: Industry Rules for Safe Water Installation 2026:1, especially sections 4.1.8 and 4.1.8.1, covers frost damage-safe laying and requirements for drainage for water spouts within the application of the industry rules, even when a hose is connected at shut-off. This is industry rules, not an automatic retroactive national legal requirement that every old outdoor faucet must be replaced. Neither the forms nor Excel perform a technical verification of the drainage.

Building rules and building changes: The Swedish National Board of Housing, Land and Construction’s guidance on hygiene, health and environment describes how existing buildings and modification works must be assessed based on their conditions. There is no verified identical national washing, testing or seasonal interval for all older water spouts that this template prescribes.

Water damage and responsibility: Observed dripping or cracks do not automatically document the cause of the fault, who is liable for damages, insurance terms or approved installation standard. Hire a professional contractor when a technical investigation or measure is required.

Similar but separate document packages

Frost Protection & Frost Risk Round applies to broader property parts. Water Shut-off Valves & Leak Alarms follows automatic shut-off and alarm systems. Shut-off Valves & Valve Labeling refers to valves and labeling. This product is specifically for water spouts and outdoor faucets.

Common questions about water spouts and outdoor faucets

How do I perform a seasonal inspection of water spouts?

Register actual visible condition, dripping, hose connection and any damage. Do not assess frost-free drainage without technical documentation or professional inspection. Acute leakage requires immediate relevant handling.

Must all older outdoor faucets retroactively follow Säker Vatten 2026:1?

Not as a general statement. The application of the industry rules depends on, among other things, the measure, agreement and conditions. Check relevant technology and applicable rules for the actual installation.

Does a dry faucet mean it is frost-safe?

No. A brief visual observation result cannot alone certify that a water spout is correctly drained at shut-off, especially not under all hose conditions.

Can Excel certify performed or approved plumbing service?

No. Excel counts administrative entries and statuses. The contractor’s documentation and separate follow-up are required when technical conclusions are important.

Are there fillable PDF files?

The PDF files are searchable print versions without digital form fields. Use DOCX for editing and Excel for register follow-up.

Are all documents in English?

No. Five work templates and one guide are in Swedish. A separate English User Guide explains the workflow for the Swedish documents.
