About this template

Volunteer Agreement & Assignment Description – Template for Non-Profit Organizations

Is a Swedish non-profit organization receiving volunteers or organizing volunteer assignments? This digital document package provides clear working documents for volunteer assignments, induction, safety and insurance checks, confidentiality and data protection, and termination and return of equipment and access rights.

The documents make it easier to describe who does what, how a volunteer receives instructions, and who to contact. They are intended for actual unpaid, volunteer assignments and do not replace employment contracts, paid assignment agreements, or other rules that may apply depending on the actual circumstances. The heading “volunteer” does not in itself determine the legal or tax status of the relationship.

01. Package Contents

15 files in a ZIP: 7 editable Word documents (DOCX), 7 corresponding searchable PDF documents, and 1 Excel register (XLSX) with nine tabs. The package contains five Swedish working documents, a Swedish user guide, and a separate English User Guide. The working templates are in Swedish.

02. What the Files Contain

Volunteer agreement with concrete task boundaries, role description, and induction; documented risk and insurance checks; instructions for protecting personal data; and a termination document for the return and revocation of access. The Excel register supports administration and status tracking but does not make legal classifications.

Excel – Nine Tabs for Volunteer Coordination

Overview, Assignment, Volunteers, Induction, Risks, Permissions, Follow-up, Termination, and Read Me. The workbook calculates, among other things, the number of registered assignments, inductions, control cases, and terminated permissions. Statuses such as “Ongoing,” “Checked,” and “Completed” are marked manually. No test data is included with the customer file.

Use simple case and volunteer IDs instead of personal identity numbers or other unnecessary personal data. Excel does not determine whether an assignment is employment, whether insurance coverage applies, or whether safety procedures meet all legal requirements.

How to Use the Document Package

  1. Assess the actual nature of the assignment. Is it a genuine unpaid, volunteer assignment or a relationship that requires different regulation?
  2. Describe the role. Specify concrete tasks, boundaries, volunteer scope, and contact person.
  3. Check risks and insurance. Verify what protection the organization's insurance actually provides for the person and the activity.
  4. Conduct an induction. Provide necessary safety instructions, contact channels, and information about incidents.
  5. Limit data access. Provide only necessary accounts and instruct on the handling of personal data.
  6. Follow up. Record actions without collecting more personal data than necessary.
  7. Terminate properly. Document the handover, return, and that system access has actually been terminated.

Important Legal Limitations

Compensation and tax: The Swedish Tax Agency states that non-profit organizations that pay compensation for work may be subject to obligations to submit employer declarations or control reports, withhold tax, and pay employer contributions. Neither the heading on the form nor a statement about “volunteer work” waives the actual assessment.

Insurance and safety: A signed volunteer agreement does not in itself mean that the volunteer is insured. Check actual insurance, activity, participants, and safety measures. If an activity involves working with children or special risks, a separate, situation-specific assessment is required.

GDPR: The organization needs a legal basis for processing personal data, limit the amount of data, and protect the information. The instruction template is not a universal consent form and does not replace the organization's data protection information.

Frequently Asked Questions About Volunteer Agreements in Non-Profit Organizations

Is a written volunteer agreement necessary?

A written document can create clarity about the role, contact person, tasks, and expectations. But the template does not in itself determine which employment law rules apply; base it on the actual circumstances.

Is a volunteer always unpaid?

The term is used for voluntary non-profit engagement. If compensation, fees, benefits, or other conditions are involved, the organization must assess the actual situation and any tax and employment law obligations.

Can the organization pay expenses to the volunteer?

Actual expenses may need to be documented and assessed separately. If a payment is subject to tax or reporting, it is assessed based on its actual content, not just the designation “expenses.”

Are volunteers covered by the organization's insurance?

Insurance policies and activities may differ. Check the organization's actual insurance terms and, if necessary, request confirmation from the insurer.

Do workplace environment rules apply to volunteer assignments?

The actual circumstances, the activity, and whether there are employees can affect which obligations apply. The organization should always address identified practical risks before the activity begins.

Can the volunteer handle personal data?

Only within the organization's permitted and secure processing, with necessary instructions and the minimum possible permissions. The organization is responsible for an appropriate legal basis and protection.

How do you end a volunteer assignment?

Document what has been agreed and what actually needs to be returned. Check that keys, accounts, and documents have been returned and that digital permissions have been removed.

Can the template be used as an employment contract?

No. It is a working document for unpaid, volunteer assignments. If the relationship is actually employment or a paid assignment, a different setup and applicable rules are required.

Are the files in English?

The five Swedish working documents are in Swedish. A special English User Guide explains how the material is used within Swedish non-profit activities.
