About this template

Annual General Meeting Decisions & Implementation Register – Non-Profit Organization is a document package in Word, PDF, and Excel for transferring already made annual general meeting decisions into responsible assignments, monitoring implementation, and reporting results to the board and members.

Important limitation: The package does not make, approve, or change organizational decisions. Always check the actual annual general meeting minutes, bylaws, the board's mandate, and any financial or special formal requirements. An administratively registered decision is not automatically legally valid.

When is the package suitable?

When the annual general meeting has been held and the organization's board needs a consolidated workflow for decision points, assignment distribution, status reporting, deviations, and completion. The package does not replace templates for notices, agendas, voting lists, or the meeting minutes themselves.

01. Package contents

Five working documents, a Swedish user guide and an English User Guide, each in editable Word and searchable PDF, plus an Excel tool with nine tabs. 7 DOCX + 7 PDF + 1 XLSX = 15 customer files. Word/PDF are two formats of the same seven documents.

02. What the files contain

Decision extracts, assignment and mandate control, implementation plan, board report, final clearance/deviation control, two guides, and an Excel register. The statuses planned, assigned, in progress, completed, and verified are kept separate.

Excel tool – actual functions

The nine tabs are named Overview, Decisions, Assignments, Actions, Deviations, Reports, Controls, Sources, and Read Me. The workbook compiles manually registered decision IDs, open assignments, planned, completed, and verified actions, deviations under investigation, and the difference between the stated decided budget and manually approved costs. Up to 300 rows are prepared in the main registers.

Excel does not establish the validity of decisions, authority to represent, legal deadlines, or the right to change a decided budget. The statuses are based on the organization's own documented control.

How the documents are used

  1. Retrieve the actual final annual general meeting minutes and check relevant bylaws and decision prerequisites.
  2. Register the decision paragraph and exact decision wording, with a unique reference to the original.
  3. Check the board's mandate, any budget frameworks, and the right to represent the organization in external actions.
  4. Distribute tasks with a responsible role, planned date, and clear supporting documentation.
  5. Document actual implementation, perform a separate check, and register any deviations.
  6. Report to the appropriate body; let new decisions be made in the correct order if assignments or mandates need to be changed.

Legal prerequisites

According to the Swedish Tax Agency's guidance, the organization's meeting is normally the decision-making body and the board is normally the executive body. The actual bylaws, decisions, and respective representative's authority govern the operations. MUCF's guidance covers organizational democracy and documentation, but is not an automatic set of legal requirements for every organization.

Personal data in minutes, action registers, and reports may be subject to GDPR. Assess purpose, legal basis, data minimization, access, and storage. IMY on organizations and personal data.

Frequently asked questions

Is this a template for writing annual general meeting minutes?

No. It is used after the annual general meeting for follow-up and implementation of actually made decisions. The minutes should exist separately as an original document.

Does a decision become valid when it is registered in Excel?

No. Registration and calculated key figures do not establish legal validity. Check minutes, bylaws, decision-making bodies, and any formal requirements.

How does the package distinguish between a completed and a verified action?

Completion is indicated with an actual date and supporting documentation; verification requires a separate check. Statuses and follow-up are registered separately.

Can the board change what the annual general meeting decided?

Not automatically. Authority and room for change must be assessed based on bylaws and decisions. In some situations, a new decision from the correct body is required.

Are the PDF files fillable?

The seven PDF files are searchable and printable. For editing, the corresponding Word files are used; interactive PDF form fields are not included.

Does the package contain English agreements?

No. The five working documents and the Swedish guide are in Swedish. A separate English User Guide describes the use of the Swedish documents and the Swedish organizational context.
