About this template
Backup Plan and Restore Test – Document Templates for Backups and Recovery
The fact that a backup is scheduled or marked as successful does not mean that the information can actually be restored. With this document package, companies and organizations can document a backup plan, system inventory, restore tests, failed runs, corrective actions, and actual recovery in a coherent workflow.
For whom? IT managers, small businesses, operations managers, system owners, data protection officers, and vendor managers who need practical, editable documentation support – not a software service that performs backups for them.
01. Package Contents
15 files in a ZIP: 7 editable Word files (.docx), 7 searchable PDF versions (.pdf), 1 Excel workbook (.xlsx). Five Swedish working documents, a Swedish user guide, and an English user guide. The main templates are in Swedish; the English User Guide does not make the product fully bilingual.
Version: 1.0, 27 October 2026 · Legal context: Sweden and the EU GDPR when personal data is processed · Delivery: digital ZIP download once the download file has been linked in the store.
02. What the Files Contain – File by File
Each Word document has a PDF version with the same name. The table describes the 15 files actually produced.

Excel Register, Nine Tabs 08_Backup_Restore_Register.xlsx |
Systems, backup jobs, restore tests, risks, deviations, actions, decisions, evidence, and overview | XLSX |
The Excel Tool – Nine Functional Tabs
The workbook includes Overview, System Register, Backup Jobs, Restore Test, Risks, Deviations, Actions, Decisions & Evidence, and Read Me. It features automatic counts and summaries, risk scores for administrative prioritization, and optional status fields. The difference between a successful backup job and a verified successful restore is explicitly stated. Excel does not make automatic assessments of legal compliance or regulatory approval.
How to Use the Documents
- Identify critical systems, owners, and data in the system inventory.
- Determine the backup method, recovery objectives (RPO/RTO), protection, storage, and responsibility in the backup plans.
- Document actual runs and deviations in the working documents and Excel.
- Perform a controlled restore test. Verify the data and functionality – not just that a copy exists.
- Record any deficiencies and follow up with retesting. Use the recovery checklist for any duly authorized recovery work.
Legal Prerequisites and Important Limitations
GDPR Article 32 requires risk-appropriate technical and organizational security measures for processing personal data. Article 32.1 c–d covers, among other things, the ability to restore availability and access in a timely manner, as well as a procedure for regular testing, assessment, and evaluation of the security measures. Exact backup frequency, the 3-2-1 strategy, and general retention periods are not universal, explicit GDPR requirements.
The Swedish Authority for Privacy Protection (IMY)'s guidance describes the need to assess what should be backed up, protect copies, document procedures, and regularly test restores. Other regulations and industry-specific requirements may apply, for example in businesses subject to special cybersecurity regulations. The actual operations and risk profile determine the requirements.
Product Limitations: The files do not run backup jobs, no real systems are restored automatically, and no official certificate is issued. In the event of a security incident, personal data breach, critical system issue, unclear legal requirements, or major operational disruption, IT and legal specialist advice may be required.
Frequently Asked Questions
Is it enough if my backup job is marked as successful?
No. It does not prove that an actual restore works. The test protocol requires verified results and supporting documentation before the outcome can be marked as approved.
Is a restore test always a legal requirement?
GDPR Article 32 sets risk-appropriate security requirements and describes the process for regular testing. Which specific controls are appropriate must be assessed against the operations and personal data processing.
Are there ready-made IT scripts or automated backups?
No. The product contains editable administrative templates in Word and PDF, as well as Excel for documentation and follow-up.
Are the files fully bilingual?
No. The five working documents are in Swedish. A Swedish and an English user guide are included.
Can Excel determine if the company complies with the GDPR?
No. Excel can summarize data and status, but it does not replace an actual risk assessment, technical verification, or legal assessment.
