About this template
Responding to a written warning – write a professional reply to your employer
Have you received a written warning, formal reprimand, or admonition at work and want to respond to allegations you consider incorrect or incomplete? With this template package, you can write your own statement, document receipt with a clear reservation, request clarifications, and keep your documentation and meeting notes organized.
The package is particularly relevant for searches like "refusing to sign a written warning," "responding to a written warning," and "reply to a reprimand." A signature should always be assessed based on the exact text of the document: a simple receipt of acknowledgment does not necessarily constitute an admission, but declining to sign does not automatically invalidate the warning.

How to respond to a written warning
- Read the wording of the warning. Identify who issued it, which events are being invoked, and what you are actually being asked to sign.
- Separate facts from assessments. Use the response template to explain your perspective, including dates and documentation where possible.
- Only acknowledge what you intend to acknowledge. The separate acknowledgment of receipt is explicitly limited to receipt. The employer's own form may have other terms and conditions.
- Request clarification if needed. Document 03 is a factual request for allegations, events, and instructions; it is not an automatic right to have all employer documents disclosed.
- Document dialogue and support. Take notes during meetings and save relevant documents. Contact a union representative or lawyer when the situation requires it.
Excel tool – nine tabs for case management
The Excel register includes Cases, Allegations, Evidence, Communication, Meetings, Deadlines, Follow-up, Dashboard, and Read Me. The four dashboard metrics refer to registered cases, open cases, allegations, and evidence items. Register statuses are administrative aids and do not imply that an allegation has been accepted, that a warning has been invalidated, or that a legal deadline has been verified. The workbook is delivered without test personal data.
Legal conditions under Swedish labor law
There are differences between a managerial reprimand/admonition and a formal disciplinary penalty. The label "warning" alone does not determine the legal effects. The purpose of the warning document, any applicable law or collective agreement, the employer's measure, and the concrete situation must be assessed individually.
Section 7 of the Employment Protection Act (LAS 1982:80) addresses objective grounds for termination. A single warning document does not in itself mean that objective grounds exist or that a later decision to terminate is valid. Section 62 of the Employment Co-determination in the Workplace Act (MBL 1976:580) may be relevant in matters concerning disciplinary penalties. Public sector employees may be subject to special provisions not fully assessed in this template.
If the employer has simultaneously notified you of termination, dismissal, or a formal disciplinary decision, other procedures and short legal deadlines may apply. A standard response to the warning does not replace such measures. Check your collective agreement and contact a union representative or lawyer immediately.
Personal data and confidentiality: Only use relevant personal data and do not share protected or sensitive information about colleagues without a legal basis. The Swedish Authority for Privacy Protection (IMY) guidelines on personal data in working life are relevant for the employer.

Frequently asked questions
Do I have to sign a written warning?
It is impossible to provide a general answer without checking what the signature pertains to and what type of document it is. Read the text and contact your union in case of doubt. Not signing does not automatically mean the warning ceases to be valid.
Can I sign that I have received the warning without agreeing with it?
Yes, a separate receipt can be formulated to explicitly acknowledge receipt only. Always check what you are actually signing.
Can the template make a written warning invalid?
No. The template helps you document your stance and request clarity. The employer or a competent authority can make a separate legal assessment.
Is a reprimand the same thing as a disciplinary warning?
Not necessarily. A reprimand may serve a different function than a formal disciplinary penalty. Collective agreements and legislation may be decisive.
Are the documents included in English?
The five main templates are in Swedish; an English User Guide is included for using the Swedish files.
