About this template

Corrective conversation with employee – professional meeting template, improvement plan, and Excel

Do you need to document a corrective conversation in an objective manner, create an employee improvement plan, and follow up to ensure that agreed-upon measures are actually carried out? This template package compiles five independent Swedish work templates with a user guide and an administrative Excel register. The purpose is to support a structured dialogue regarding concrete work-related issues – not to automatically decide on disciplinary actions, formal reprimands, or termination.

15 files in a ZIP: 7 Word (DOCX), 7 searchable A4 PDFs, and 1 Excel (XLSX) with nine tabs. All documents have space for factual information and two separately framed information boxes regarding the package content and the purpose of each file.

01. Package content

  • 7 editable Word (DOCX) files – five Swedish master templates, one Swedish user guide, and one English User Guide.
  • 7 PDF files – corresponding two-page, searchable A4 files for printing and internal documentation.
  • 1 Excel workbook (XLSX) – nine tabs with administrative registers, filters, status options, date tracking, and an overview with formulas.
  • Document version: 1.0 – 2026/2027. Source review: October 18, 2026. Digital delivery: ZIP after purchase when the download file has been linked in Digital Products.

No personal data, valid disciplinary decisions, or falsely verified cases are pre-filled. There are two custom, framed information boxes in every DOCX/PDF file.

02. What the files contain – file by file

Each work template distinguishes between allegations, actually documented facts, the employee's objections, employer obligations, and verified follow-up.

What is the difference between a corrective conversation and a written warning?

A corrective conversation is often an early, supportive, and fact-based manager or HR meeting regarding work-related problems. A written warning or formal reprimand may have a different purpose and different consequences depending on the situation and applicable collective agreement. Documentation of a conversation is not, in itself, a decision regarding disciplinary action, a formal legal warning, or valid grounds for termination.

According to Section 7 of the Employment Protection Act (LAS 1982:80), termination by an employer must be based on objective grounds. If termination is considered, the employer must conduct a specific legal assessment of the circumstances, potential reassignment opportunities, applicable collective agreements, and relevant procedural rules. This package does not replace such an assessment.

How to use the meeting template in ten steps

  1. Define the issue: limit to concrete work tasks, instructions, or situations.
  2. Examine the facts: use file 02 for time, place, verifiable observations, and sources. Distinguish rumors from substantiated facts.
  3. Examine alternative causes: check workload, unclear tasks, lack of resources, work environment conditions, and training needs.
  4. Inform the employee: explain the purpose of the meeting, participants, issues addressed, and GDPR-relevant information handling.
  5. Listen: document the employee's own account and views without judgmental or offensive phrasing.
  6. Clarify expectations: communicate objective goals and applicable instructions.
  7. Determine employer support: plan induction, supervision, work tools, or other realistic resources where needed.
  8. Formulate the plan: use file 03 for measures, person responsible, completion date, and clear follow-up.
  9. Verify actual follow-up: in file 04 and Excel, planned interventions are distinguished from documented completed and verified interventions.
  10. Conclude or reconsider: use file 05 to document closure, revision, or the need for a separate HR-legal assessment.

Excel – nine tabs for traceable yet limited HR follow-up

Overview, Cases, Events, Conversations, Measures, Follow-up, Evidence, Checks, and Read me. The register contains status choices, register fields, date management, and a dashboard summarizing, among other things, registered cases, documented conversations, open cases, verified completed measures, and actually executed follow-ups. Delays are flagged using planned dates and the actual case status.

There is no automatic personal scoring, performance ranking, warning assessment, or termination recommendation. Empty registers yield 0 in the overview. A planned date is not a completed measure, and a statement that something is "done" must be distinguished from it being actually verified.

GDPR, work environment, and legally sound personnel documentation

The Swedish Authority for Privacy Protection (IMY) states that personnel notes must be relevant to the work, objective, and free from offensive or disparaging information. The employer needs a clear purpose, a legal basis, information provided to the employee, and proportional procedures. In employment relationships, consent is generally not an appropriate basis for employer monitoring. IMY’s fundamental principles.

AFS 2023:2 Chapter 2 covers organizational and social work environment, where, for example, the balance between requirements and resources as well as management support is relevant. A corrective conversation must not replace a necessary work environment investigation, work adaptation, rehabilitation process, or discrimination investigation. See the Swedish Work Environment Authority's regulations.

Data protection in practice: use internal case IDs in Excel. Do not store health data, union affiliation, information about private life, or complete personnel files in an unprotected register. Store complete case files in a separate, access-controlled system and document an appropriate retention period.

FAQ

Is a corrective conversation the same as a written warning?

No. It can be an early management and support dialogue. A written warning or reprimand may have a different labor law implication and must be assessed separately based on the situation, agreement, and practice.

Can the minutes be used as a basis for termination?

It can be one piece of objective documentation among several, but it never determines whether termination is permitted. The Employment Protection Act (LAS) and applicable agreement/procedural rules must be assessed individually.

Does the package contain an improvement plan?

Yes, with goals, employer support, responsible persons, timing, objective follow-up criteria, and room for reconsideration.

Is the employer allowed to store personnel matters in Excel?

The data must be legal, necessary, secure, and proportional. The package's Excel is an administrative register, not a protected personnel file system. Preferably use only internal references.

Are the templates entirely in English?

The five main documents are in Swedish. A Swedish user guide and a separate English User Guide are included; not English master templates.

Does Excel automatically determine that an employee is underperforming?

No. Excel shows administrative statuses and manually verified measures; no performance scores or automated legal assessments are included.
