About this template
Data Quality Control & Validation Register is a digital template package for organizations that want to define, control, and improve the quality of their data. Create a data quality plan, document quality rules, measure results, and follow up on deviations. Suitable for, for example, product data, customer registers, and other structured business information. 7 Word + 7 PDF + 1 Excel, 15 files in total. Digital ZIP delivery.
01. Package Contents
Five Swedish working forms, one Swedish user guide, and one English User Guide – all as editable Word (DOCX) and searchable PDF files – as well as an Excel workbook (XLSX) with nine tabs. 15 customer files in a ZIP. The five working templates are in Swedish. The English file is a user guide, not translated main templates.
02. What the Files Contain
Data quality plan, definition of datasets and data ownership, measurement rules for, for example, completeness and validity, validation protocols, and deviation/action control. Excel contains registers of datasets, quality rules, controls, deviations, and actions, as well as decisions and an overview distinguishing completed from verified actions.
What is a data quality register used for?
Data quality refers to whether data is sufficiently accurate, complete, valid, consistent, and up to date for a specific purpose. An organization's quality rule may, for example, require that every active product has an item number, that dates use the correct format, or that an identifier is unique. The register supports planning, measurement, and follow-up. It does not guarantee that the data reflects reality.

Excel Tool – Nine Tabs
Overview, Datasets, Quality Rules, Controls, Deviations, Actions, Causes, Decisions, and Read Me. The control tab calculates the number of deviations as controlled minus approved and calculates the approved percentage as approved/controlled when the denominator is positive and the input data is valid. When the controlled number is zero, “Not calculable” is displayed – not an automatically approved result. If there are too few approved items compared to the set target value, “Below threshold” is displayed. Assessment and decisions must always be made by the user.
How the Template Package Is Used
- Select a dataset and determine its purpose, sources, and owners.
- Document which attributes are mandatory and how they are defined.
- Create a measurable quality rule with a population, counter, denominator, and target threshold.
- Perform the control using an approved source and documented method.
- Record deviations without copying unnecessary personal data.
- Plan, perform, and retest actions, and document responsible decisions.
- Follow up in the Excel overview and revise the rules based on business needs.
What Is the Difference Between Data Quality Control and Data Migration?
A data migration plan and system migration template focuses on transfer between systems, field mapping, and deployment decisions. This package is aimed at recurring data quality controls and improvements – even when no migration is underway.
Frequently Asked Questions
What Does Data Quality Mean?
Data quality is assessed in relation to how a dataset is intended to be used. A product register may, for example, require complete product codes, consistent units of measure, and correct links to actual goods. ISO/IEC 25012 describes a general model; which criteria are most important is determined locally.
Does Excel Calculate Automatically Whether the Control Is Approved?
Excel compares a calculated approved percentage with the target threshold you have entered. It may display “Below threshold” or “Meets threshold” based on the figures. This is not an automatic approval of the quality, as the sample, data source, and business utility must still be assessed.
What Happens If No Items Are Controlled?
If the controlled number is zero, a meaningful percentage cannot be calculated. Excel marks the result as “Not calculable” and requires that the situation be assessed. Setting the result to 100 percent would give a misleading picture.
Does It Include Automatic Control of Excel Files or Databases?
No. The workbook is a register for manually entered control results. It does not connect to databases or automatically scan customer, product, or personnel registers. The controller and data owner must perform and document the actual control themselves.
Is It an ISO-Certified or GDPR-Approved Template?
No. The product is based on general data quality principles but has not been certified or reviewed by standardization organizations. GDPR and any other requirements must be handled based on the organization's specific tasks, data protection responsibilities, and applicable legislation.
Can I Fill in the PDF Files Directly?
The PDF files are searchable and intended for reading and printing. They are not interactive PDF forms. Use the Word versions for editing and the Excel workbook for the register. You may want to test recalculation and data validation in your spreadsheet program after any import.
Are the Templates Available in English?
An English User Guide in Word and PDF is included and explains the workflow. The main forms and Excel headers are delivered in Swedish; no complete English translation of all working documents is included.
