About this template
Shared Charging Box and Charging Cost Agreement – Word, PDF and Excel
Do several people or a housing cooperative need to use a charging box and allocate the cost clearly? With Mallbutiken's document package, you get editable templates for a time-limited sharing agreement, charging station rules, readings of actually measured kWh, operational and safety monitoring, and a basis for decision-making on cost allocation. This is supplemented by an Excel file with nine tabs for recording and formula-driven calculations.
The documents are intended for situations where the right to install and use the charging point already exists or can first be established through the proper decision. The package does not create an easement, parking right, common facility, or the opportunity to override a cooperative's decision. Electrical installation work and troubleshooting must be handled by a properly registered electrical installation company.

Excel – Charging Box and Cost Register 08_Delad_Laddbox_Kostnader_Driftregister.xlsx |
Nine tabs: Overview, Parties, Charging Points, Charges, Cost Model, Settlement, Operational Check, Deviations, Read Me | XLSX |
What is the package used for?
The sharing agreement collects information about parties, box ID, location, permission to use the equipment, technical responsibility, reading method, and validity. The rules document clarifies which users have authorization and how errors and risks are reported. The reading basis distinguishes verified kWh from estimated consumption. The decision protocol documents the properly established cost principle and provides a clear check before debiting.
Excel Register – Nine Tabs with Real Functions
Overview: instructions and navigation. Parties: user ID and basis for authorization. Charging Points: location and technical responsibility. Charges: measurement source, measured consumption, and the formula kWh × agreed SEK/kWh. Cost Model: check if the specified shares add up to 100%. Settlement: formula-calculated distribution of a separately decided fixed cost. Operational Check: visible deviations and responsibility. Deviations: follow-up of events and objections. Read Me: instructions, limitations, and official source references.
The formulas do not include automatic VAT calculation or tax decisions. No calculation in Excel establishes a legally binding charging price or the right to use the charging facility. Any VAT, electricity network fee, energy tax, and other items must be examined and documented separately based on the actual situation.
Step by Step – From Authorization to Settlement
- Check that the person granting access to the charging box and parking space has the right to do so. For a housing cooperative or joint property, check the necessary bylaws, meeting/board decisions, and facility decisions.
- Collect installation certificates, box ID, and information about the responsible facility owner. Technical work must be carried out by a registered electrical company with the correct business type.
- Fill in the sharing agreement and attach the user rules. Specify a concrete measurement method, terms period, safety responsibility, and any fixed fee.
- Record measured kWh and a verifiable price basis. Review deviations, duplicates, and missing measurement values before the cost basis is approved.
- Follow up on operational problems separately. Review any VAT handling and make payment decisions through the proper procedure.
Important Legal and Technical Information
Electrical installation and electrical safety. According to the Swedish Electrical Safety Authority, the installation of a charging point must be carried out by a registered electrical installation company registered for the correct type of electrical installation. The facility owner is responsible for safety and ongoing inspection. This document package is not an installation guide, technical certification, or guarantee of the charging box's functionality.
Housing cooperatives and joint properties. Existing grants, bylaws, and facility decisions may limit what a cooperative can decide. The Swedish Land Registry describes that technical upgrades may in some cases fall within the existing facility decision, while other changes require review through a land registry proceeding. A private charging cost agreement does not change decided share ratios or the purpose of a common facility.
VAT and pass-through billing. The Swedish Tax Agency states that a housing cooperative that passes on actual individually measured electricity consumption to residents must add VAT according to the applicable rules. This is not the same as saying that every private cost-sharing arrangement is automatically a VAT-taxable sale. The choice of price and any VAT must therefore be reviewed based on the parties, transaction, and current law.
Special note on parking spaces under 2027: The Swedish Tax Agency has published a revised assessment of VAT on the rental of parking spaces to residents, which the agency states it will begin to apply on its own initiative from April 1, 2027. This is a separate issue from the calculation of measured electricity consumption. If the charging space is also rented out, the parking grant and its VAT treatment must be assessed separately. See the Swedish Tax Agency's current guidance.
Personal data and storage. Charging logs may reveal who charged and when. Do not collect more identity data than necessary, limit access, and decide on the storage period and any data protection information.
Limitations: the package does not replace electrical installation companies, bylaw-compliant decisions, facility proceedings, accounting, or tax advice. In cases of unclear facility decisions, VAT issues, electrical safety risks, technical expansions, or major cooperative investments, qualified experts should be consulted.
Frequently Asked Questions
Can two neighbors share a charging box with this agreement?
Yes, the document can be used to regulate a voluntary collaboration where the parties already have the right to the space and the facility. It does not create the right to install a charging box on another property or run cables across land.
Does the agreement automatically apply in a joint property association?
No. Check the facility decision and the association's proper decision-making procedure before application. An agreement between users cannot replace the necessary modification of the common facility.
Does Excel calculate the charging cost itself?
Yes, for registered rows with verified kWh consumption and a filled-in price per kWh, the spreadsheet calculates the variable administrative cost. Any VAT or other fees are decided and documented separately.
Must the person who installs the charging box be registered?
Yes. Installation must be handled by a registered electrical installation company with the correct business type. The documents do not replace electrical installation work or professional inspections.
Does the package include English agreements and editable PDF forms?
The five working documents are in Swedish. A separate English User Guide is included. The Word files are editable; the PDF files are searchable and printable, but interactive PDF forms are not promised.
