About this template

Experience feedback and retrospectives for projects and teams. Plan a retrospective meeting, document observations, formulate useful lessons learned, and test them in the next project. The package is intended for internal learning within Swedish private companies and includes editable Word templates, searchable PDF copies, and a lessons learned register in Excel.

Voluntary methodological support: the documents do not replace workplace investigations, whistleblowing channels, investigations into personal matters, formal error investigations, or crisis support. A recorded lesson learned is not evidence that a way of working has changed.

When is a retrospective appropriate?

Choose the package when a team wants to reflect on a period of work or a project, preserve what worked, and identify concrete improvements. A retrospective can be held during the work or after a delivery. The templates help you follow the chain from observation to lesson learned, decided action, and documented reuse in a new context.

01. Package contents

15 files in a ZIP: five Swedish working documents, one Swedish user guide and one English User Guide, all in editable DOCX format with a corresponding searchable PDF. The package also includes a Swedish macro-free XLSX workbook with nine tabs.

There are seven independent documents and one Excel tool, delivered as 7 Word + 7 PDF + 1 Excel. The PDF versions are read-only and printable copies without interactive form fields.

02. What the files contain

The workshop plan with a conversation framework and information management, an observation log that separates facts from interpretation, retrospective minutes, lesson learned cards with reuse testing, and an improvement plan with separate execution and verification. The guides show the workflow and limitations. Excel links together meetings, observations, lessons learned, actions, reuse, decisions, and supporting documentation with their own IDs.

Excel for lessons learned and actual reuse

Overview, Meetings, Observations, Lessons Learned, Actions, Reuse, Decisions, Supporting Documentation, and Read Me. There are 60 pre-formatted rows per register. Yellow cells are input fields, and blue-gray cells contain formulas. Tables can be filtered, and specific status fields have drop-down lists.

Excel flags duplicate IDs and certain missing pieces of information. An action with the status “Verified” is only counted once criteria, the responsible person, execution date, supporting documentation, verifier, and verification date are present. Controlled reuse requires, among other things, a new context, actual application, and review documentation. The checks do not verify the authenticity of evidence or the quality of learning.

Internal time control: enter the current control date on Overview. Expiration dates are compared to this date. Empty and incorrect dates receive special control messages. No legal deadlines are calculated. If there are more than 60 rows, the tables, validations, formulas, and overview ranges need to be extended together according to the guide. Macros, automatic distribution, and external data connections are not included.

How to conduct the experience feedback

  1. Define the scope of the project or period of work and formulate what the group should learn.
  2. Appoint a meeting leader, documenter, and recipient. Inform how the notes will be handled.
  3. Collect concrete observations and supporting documentation. Separate facts, experiences, and hypotheses.
  4. Formulate lessons learned with context, conditions, and remaining uncertainties.
  5. Decide on a reasonable number of actions with an owner and predetermined control.
  6. Review the material before distribution and test each lesson learned in the new use case.
  7. Follow up on actual application and impact. Preserve what worked and reconsider what needs to change.

Data protection and legal limitations

When notes or registers contain personal data, the organization must assess the purpose, legal basis, information, access, and storage in accordance with GDPR, including Articles 5–6, 13–14, and 32. Use features and aggregated information when sufficient. IDs and small groups can still identify individuals.

IMY's guidance for the workplace emphasizes legitimate purposes, proportionality, and the protection of employees' data. Do not promise anonymity or absolute confidentiality. Do not use the lessons learned register for covert performance monitoring, health data, or private personal assessments. Serious personal matters and security risks need to be handled in the appropriate separate process.

Meeting minutes do not automatically grant external signing authority or the power to carry out otherwise regulated changes. In a limited company, the distribution of responsibility remains according to the Companies Act, Chapter 8, Sections 4 and 29. The templates include internal review signing; they do not promise electronic signing or automatic validation of all input errors.

Frequently asked questions about retrospectives

What is the difference between a retrospective and a final report?

A retrospective is a structured joint reflection to draw lessons learned and improve future work. A final report summarizes the project's results and closure. The conclusions of the retrospective can be used as supporting documentation for the final report.

Must everyone agree on the causes?

No. Document differing views and what evidence exists. A hypothesis should not be recorded as an established fact to create agreement.

Is shared information the same as a reused lesson learned?

No. A lesson learned may have been sent to the next project without being tested or used. The package separates planned distribution from actual application and controlled follow-up.

Can Excel prove that the action worked?

No. Excel checks certain required registration details and compiles manually assessed statuses. The responsible person actually needs to test the result against a documented criterion.

Are the main templates in English?

No. Five working templates and Excel are in Swedish. The English User Guide explains how they are used and does not imply adaptation to foreign law.

Are the PDF files fillable?

The PDF files are searchable read-only and printable versions. Fill in and customize the Word files in a compatible program. Interactive PDF forms are not included.
