About this template

Event evaluation and post-event report for non-profit organizations – Word, PDF, and Excel templates for following up on a completed non-profit event. Collect voluntary participant feedback, document staff observations, compare the budget with actual costs, and develop a clear improvement plan for the next event.

Important: The package is for evaluation after an event, not for planning, registration, or incident investigation. Free-text fields and technical survey logs may contain personal data even when names are not requested. The organization must therefore assess the applicable GDPR requirements itself before collection.

When is the evaluation package suitable?

For non-profit organizations that, after a meeting, activity, theme day, or lecture, need a coherent workflow from evaluation questions to a results report and decided improvements. Unlike a regular membership survey, this package applies to a specific completed event, its finances, and organization.

01. Package contents

Five useful working documents, a Swedish user guide and an English User Guide, each in editable Word and a corresponding searchable PDF. In addition, an Excel workbook with nine tabs is included. 7 DOCX + 7 PDF + 1 XLSX = 15 customer files. Word and PDF are two versions of the same seven documents.

02. What the files contain

Evaluation plan, short voluntary participant survey, staff observation log, results and financial report, improvement plan, two guides, and Excel tools for responses, observations, costs, decisions, and follow-up. Administrative statuses are distinct from legal validity.

The Excel tool's actual functions

The workbook contains nine tabs: Overview, Event, Responses, Finances, Observations, Actions, Decisions, Privacy Check, and Read Me. It compiles the number of registered responses, averages on the 1–5 scale, the percentage of overall ratings 4–5, budget, actual cost outcome, revenue, and budget deviation.

Limitation: Excel cannot verify that survey data is anonymous, establish a legal basis, approve an expense, or determine whether a board decision is valid. Proposals, decisions, implementation, and verification are recorded separately.

How the templates are used

  1. Determine what the event was intended to achieve and which questions are relevant.
  2. Assess privacy, personal data, the survey tool's metadata, and any deletion before collection.
  3. Collect voluntary responses, without unnecessary personal data, and record staff observations separately.
  4. Compile statistics with the number of responses per question and actual financial figures.
  5. Review free text and small response groups before sharing the results.
  6. Prepare a post-event report, let the competent body make actual decisions, and follow up on actions.

Legal and practical prerequisites

Survey responses without names are not automatically anonymous. IP addresses, free text, small groups, or combinations of data may make a person identifiable. If personal data is processed, the organization must, among other things, assess the purpose, legal basis, data minimization, information, and security. IMY on non-profit organizations and GDPR and the General Data Protection Regulation (EU) 2016/679.

The results are descriptive and do not automatically show representativeness. Do not state the response rate if the actual number of people surveyed is unknown. The package does not replace a secure survey platform, incident report, or the organization's own bylaws and decision-making rules.

Frequently Asked Questions

What is an event evaluation?

A systematic review of an already completed event with documented participant responses, observations, and results. The purpose is to identify what worked and what needs improvement.

Is the participant survey anonymous?

Not automatically. The template does not request names, but the organization must check the actual collection method, IP logs, free text, and any indirect identifiers.

Can Excel calculate averages and budget deviation?

Yes. The workbook calculates the average for answered 1–5 questions as well as actual cost minus budget. Empty responses are not treated as zero scores.

Are the PDF files interactively fillable?

No. They are searchable and printable; the editable templates are the Word versions.

Is the English User Guide an English legal template?

No. The English guide explains how the Swedish documents are used and does not imply any adaptation to foreign law.

Can a report automatically approve actions?

No. An action proposal must be processed and decided upon by the competent body according to the organization's own procedures. Completed and verified actions are marked separately.
