About this template
Volunteer introduction and training acknowledgment for non-profit organizations. Professional templates for volunteer managers, volunteer coordinators, and event organizers who want to document the introduction of roles, safety procedures, communication channels, and actual feedback. Includes editable Word files, searchable PDFs, and an Excel register. The acknowledgment only shows what information has actually been provided or covered – it does not certify training, competence, or employment status.
01. Package contents
15 customer files in a ZIP: five Swedish working documents, a Swedish user guide and an English User Guide, all as Word files (7 DOCX) and searchable PDFs (7 PDF). In addition, an Excel register (1 XLSX) with nine tabs. The PDFs are print versions and not interactive forms. The English guide does not mean English working templates.
02. What the files contain
Introduction protocol, task and safety instructions, acknowledgment of actual review, control of temporary access, and follow-up protocol. The two guides and the Excel register distinguish between planned, completed, and verified. Sensitive personal data and passwords do not belong in shared registers.

Excel tool with nine tabs
Overview, Role, Volunteers, Reviews, Instructions, Competences, Controls, Actions, and Read me. Nine formula-driven and function-tested summaries cover registered and completed roles, volunteer references, reviews, instructions, actually activated and verified deactivated competences, as well as controls and actions. The formulas have been tested with fictitious data, and the customer file has subsequently been reset. Excel contains neither macros nor external data connections and does not determine legal competence or security.
How to use the package
- Describe the organization's activities, role, responsibilities, and communication channels.
- Assess the actual risk profile and what special instructions are needed.
- Conduct the introduction and acknowledge only the items that have actually been covered.
- Manage competence decisions, activation, and deactivation through the correct system owner.
- Follow up on outstanding points; verify an action only when there is supporting documentation for it.
Legal prerequisites
An organization must itself assess whether applicable occupational health and safety requirements, employer responsibilities, safety rules, and special competence requirements apply in the concrete operation. A volunteer's title does not alone determine the legal situation. The Swedish Work Environment Authority's guidance describes systematic work environment management where the rules are applicable. IMY on non-profit organizations' personal data as well as IMY on membership registers emphasize legal basis, data minimization, and protected competences.
Frequently asked questions
Does a training acknowledgment provide formal competence?
No. It shows that certain tasks or instructions have actually been provided or covered. Any formal competence requirements must be checked separately.
Can the package be used in all non-profit organizations?
As a starting point for introduction, yes, but routines must be adapted to the role's risks, the organization's bylaws, and any special rules.
Can Excel be used for sensitive personal data?
It is not recommended. Use neutral IDs and store personal data in a separate competence-controlled system according to GDPR.
Is a competence granted when it is requested?
No. Request, approval, activation, and verified termination are separate steps.
Are English protocols included?
The operational templates are in Swedish. An English User Guide is included. The PDF files are searchable print versions.
