About this template

Complaint and feedback management for non-profit organizations. A document package for non-profit boards, administrators, and staff who need to receive, assess, respond to, and follow up on common feedback about activities and the organization's services. You get editable Word templates, searchable PDF versions, and an Excel register with nine tabs. Important distinction: this is not a formal procedure for member expulsion, whistleblowing, suspected crimes, personal data breaches, or other particularly sensitive matters.

01. Package contents

15 files: five independent Swedish working documents, a Swedish user guide and an English User Guide, all in editable DOCX (7) and searchable PDF (7), as well as an Excel workbook (XLSX) with nine tabs. The PDF files are intended for reading and printing; they are not interactive forms. The English guide is an instruction manual, not an English version of the main templates.

02. What the files contain

Establishable internal procedure, intake form, assessment protocol with checks of bylaws and conflicts of interest, response template with clearly separated options, follow-up and retention review, two guides, and an Excel register that separates received, decided, implemented, and verified items. The package does not automate legal decisions or access controls for sensitive data.

When is the package suitable – and when is something else needed?

The package is designed for non-profit organizations' common organizational administrative feedback, such as suggestions about activities, information, reception, or handling of member communication. It does not replace decisions made according to the organization's bylaws and does not provide any general statutory response time. For formal member matters, you may need a template for expulsion and member matters. In case of an acute incident or threat, the organization's specific security and crisis procedures are required; see crisis plan for non-profit organizations.

Excel: nine tabs and eight summaries

The workbook contains Overview, Cases, Actions, Decisions, Communication, Feedback, Escalation, Reference Material, and Read Me. It calculates registered cases, new and ongoing cases, manually closed cases, number of actions, manually verified actions, marked sent responses, and escalations. Input fields are available for case ID, date, responsibility, status, and document reference. Preformatted list selections facilitate management. Important: Excel provides an administrative overview, not an automatic assessment of organizational law, GDPR, veracity, or valid closure.

Practical use step by step

  1. Check the organization's bylaws and specify authorized functions and contact channels in the procedure.
  2. Receive feedback with a neutral title and create a unique case ID.
  3. Determine early whether special security, member, or data protection procedures should be used.
  4. Check responsibility, conflicts of interest, and factual basis before an actual decision is made.
  5. Select exactly one option in the response template and check that it corresponds to the actual case status.
  6. Follow up on actions separately as planned, completed, or verified, and manage retention/deletion according to the organization's rules.

Legal requirements and data protection

The organization's bylaws and applicable non-profit law determine who has the right to make internal decisions. The Swedish Parliament's report on the legal framework for non-profit organizations highlights the importance of bylaws. IMY's guidance on non-profit organizations and personal data explains, among other things, legal basis, sensitive data, and limited processing. IMY's practical GDPR checklist describes information to members and handling of personal data. Data protection rules must be assessed in the individual case. This package does not offer a secure digital storage environment for personal data.

Frequently asked questions

Must all non-profit organizations have a complaint procedure?

No, there is no general Swedish law requiring this specific standard procedure for every non-profit organization. Still, check bylaws, the organization's activities, and any specific sector rules.

Can I store names and sensitive member data in the Excel register?

This is not recommended for this register. Use neutral case IDs and references; store sensitive data in an access-controlled system after assessing the legal basis, security, and retention period.

Can an intake confirmation count as a decision?

No. Intake confirmation, objective assessment, authorized decision, and actually completed action are different steps that are documented separately.

Does the package cover complaints about the expulsion of a member?

No. Such a member matter should be assessed according to the organization's bylaws, actual decision-making authority, and any special procedure.

Are legally reviewed templates and an English version included?

The material has AI-assisted source verification against official sources, but there is no documented independent external legal review of this version. An English User Guide is included, but the five working documents are in Swedish.
