About this template
Crisis Plan & Crisis Communication for Non-Profit Organizations – a practical package with Word templates, searchable PDF files, and Excel registers. Create a clear internal plan for who to contact during disruptions, who can make decisions, what can be communicated, and how the organization documents canceled activities, exercises, and recovery.
Scope: The templates are intended for the organization's own crisis management and administrative procedures. They are not approved by any authority, are not an emergency response plan, and do not replace laws, bylaws, experts, safety planning, or official instructions. In case of immediate danger: call 112. There is no general requirement for all non-profit organizations to use this particular standardized crisis plan package.
01. Package Contents
15 files in a ZIP: 7 editable Word documents (DOCX), 7 corresponding searchable PDFs for printing, and 1 Excel workbook (XLSX) with 9 tabs. Five operational templates and a Swedish guide. A separate English User Guide explains the Swedish operational templates; the templates themselves are not translated.
02. What the Files Contain
A crisis plan with activation criteria and role assignments, a crisis team and contact chain, a crisis communication plan, decisions on canceled activities and recovery, and protocols for exercises and lessons learned. The Excel workbook collects scenarios, contact status, activities, messages, and follow-up. The register does not perform any automatic regulatory or safety checks.

Excel Register with Nine Tabs
Start, Scenarios, Activation, Contact Chain, Activities, Messages, Exercises, Overview, and Las_mig. The Scenarios tab provides a simple prioritization based on manually entered probability (1–5) and impact (1–5). The product uses its own internal levels, not authority-established risk thresholds. Formula cells handle empty and invalid entries. The Overview tab counts items based on manually selected status, such as confirmed contact or published message, without automatically verifying that any contact or publication actually occurred. Excel contains no macros or external integrations.
How the Board Can Establish an Effective Routine
- Establish responsibilities: Read the current bylaws and appoint an authorized decision-maker, crisis manager, alternates, and spokesperson.
- Identify scenarios: Assess potential issues such as loss of premises, canceled activities, system outages, and serious disruptions.
- Arrange backup methods: Test the contact chain and alternative channels before they are needed.
- Control information: Document facts, approve messages, and communicate without unconfirmed or sensitive information.
- Practice and learn: Document the outcomes of low-risk tabletop exercises and follow up on improvements.
Important Legal and Safety Limitations
The structure is inspired by the Swedish Civil Contingencies Agency's methodological guidance on business continuity. This does not mean the templates are reviewed or approved by the agency or certified according to an ISO standard. Krisinformation.se describes how organizations and volunteers can help and prepare.
Contact lists and incident logs may contain personal data and must be handled in accordance with GDPR. Suspected personal data breaches must be assessed separately in accordance with the Swedish Authority for Privacy Protection's guidance. Additional rules may also apply based on the organization's activities, funding conditions, contracts, working environment, and safety requirements. The organization is responsible for checking these requirements.

Frequently Asked Questions
Is a crisis plan legally required for all non-profit organizations?
No, there is no general obligation to use this particular template package. The actual requirements of the organization may depend on specific regulations, bylaws, contracts, and commitments.
Can the templates be used in an emergency?
They can support administration, but they never replace emergency number 112, official decisions, or professional emergency response and safety procedures.
How does it differ from a business continuity plan?
This product focuses on the organization's roles, information, canceled activities, and exercises. The separate business continuity plan and BIA template focus more on business disruptions, processes, and consequences.
Does Excel automatically publish crisis messages?
No. Excel only records data entered by the user and provides administrative summaries. No contact or publication occurs automatically.
Are English operational templates included?
No. The five operational templates are in Swedish. The English User Guide is only a separate set of instructions for the Swedish documents.
Has the template been reviewed or approved by an external party?
No. Only internal AI-assisted fact-checking and technical file review have been performed. No external approval or safety certification is claimed.
