About this template
Knowledge Test & Assessment Matrix – Standalone Course is a document package in Word, PDF, and Excel for course organizers who want to design an internal knowledge test, document the connection between questions and learning objectives, use a separate answer key, and follow up on manually reviewed results.
Important limitation: The package is intended for standalone workshops and non-formal education. It does not set official school grades, issue professional qualifications, or replace specific rules for education within the school system. A calculated threshold is not automatically a passing course result or entitlement to a certificate. Participant data that can be linked to identifiable individuals may be subject to GDPR.
When is the package suitable?
Choose the product when you have already planned a course and need to construct a clear test, store the marking instructions separately, assess knowledge against predetermined criteria, and document any corrections. For attendance certificates only or course planning, other templates are better suited.
01. Package contents
Five working documents, a Swedish user guide, and an English User Guide. All seven documents are available as editable Word files and corresponding searchable PDFs. In addition, an Excel workbook with nine tabs is included. 7 DOCX + 7 PDF + 1 XLSX = 15 customer files. Word and PDF are two formats of the same seven documents.
02. What the files contain
Test plan, participant test sheet, the assessor's separate answer key, criteria matrix, results and amendment protocol, and two guides. Excel summarizes the maximum points for the questions, calculates manually entered percentages, and compares them with an optional threshold. The final assessment is separate and manual.

Excel tool with nine tabs
The tabs are Overview, Test Plan, Question Bank, Matrix, Results, Deviations, Actions, Data Protection, and Read Me. The formulas summarize maximum points, show the percentage of awarded points, compare them with the course organizer's own threshold, and compile the number of registered attempts and open actions. An example threshold of 70% is prefilled but must be tested and selected by the organizer.
The workbook has prepared rows for 200 questions and 200 test attempts. One test version per workbook. Invalid points greater than the maximum points are flagged for review. Excel does not make an independent legal or pedagogical quality assessment and does not establish approval. No macro or external connection is required.
How to use the templates
- Determine which documented learning objectives are to be tested.
- Prepare the questions and write an answer key that is not included with the participant test sheet.
- Establish maximum points, criteria for partial points, and a manual threshold before the test.
- Check actual data protection processing and document the version and permissions.
- Collect answers and grade according to the same instructions for the same test version.
- Register only necessary attempt IDs and points in Excel, and review any deviations.
- Determine and document the final assessment manually; correct the affected test if the answer key needs to be adjusted.
Legal requirements and limitations
If results or attempt IDs can be linked to a participant, they are considered personal data. The organizer must then assess the purpose, legal basis, information, access, security, and deletion themselves in accordance with GDPR, especially Articles 5, 6, 13, and 32. See IMY's guidance and GDPR in full text.
Official grading within the school system follows specific rules; see Skolverket's guidance on grades. This package is not designed for such assessment, official examinations, or certification.
Frequently asked questions
Can Excel grade the test automatically?
No. The assessor enters the points. Excel summarizes and compares them with an optional threshold but does not grade the content of the answers or decide the final status.
Is 70 percent a statutory passing requirement?
No. It is only an illustrative standard value in the workbook. The course organizer selects and documents a reasonable value for the course in question.
Can I use the package for high school grades?
Not as a finished legal basis. It is limited to standalone non-formal course activities, not official grading.
Can I save the participants' results with an anonymous ID?
An ID can still be personal data if the person can be identified via another list. Therefore, assess GDPR even when names are missing in Excel.
Are the PDF files interactively fillable?
They are searchable and printable. Editing is done in Word; interactive PDF form fields have not been verified.
Are English test templates included?
The five working documents and the Swedish guide are in Swedish. An English User Guide explains the usage but does not imply adaptation to foreign law.
