About this template

Premises inspection and operations log for non-profit organizations – editable Word templates, searchable PDF files and an Excel tool for organizations that want to regularly review the practical maintenance of their premises. Collect observations, document faults, follow up on completed actions and report costs without mixing up a fault report with a decision or a completed action with a verified inspection.

Important distinction: This is an administrative document package – not a technical inspection, certification or replacement for systematic fire protection work (SBA), mandatory ventilation inspection (OVK), electrical inspection or other required inspection. Who is responsible for the premises depends on factors including the lease/right-of-use agreement, control over the premises and applicable requirements.

When is a premises inspection and operations log suitable?

For boards, premises managers, caretakers and staff who need a uniform internal workflow for the practical follow-up of an organization's premises. Use the documents to record what has actually been observed, distinguish between reported faults, ordered actions, completed actions and verified re-inspections, and report open points to the right decision-maker.

01. Package contents

Five independent operations and work documents, a Swedish user guide and an English User Guide in two formats per document, as well as an Excel workbook. 7 DOCX + 7 PDF + 1 XLSX = 15 customer files. Word and PDF are two versions of the same seven documents, not 14 separate templates.

02. What the files contain

Inspection plan and inspection report, fault report and action request, receipt with separate re-inspection, monthly operations log, Swedish and English guide, and an Excel register for premises, inspections, inspection points, faults, decided actions, costs and areas of responsibility.

Excel – workbook with nine tabs

The workbook contains Overview, Premises, Inspections, Inspection Points, Faults, Actions, Costs, Areas of Responsibility and Read Me. It provides a summary of registered inspections, open faults, points that need to be re-inspected, completed and verified actions, as well as budget, actual costs and deviation. The formulas work with internal reference IDs and summaries for prepared registration rows.

Excel does not make legal or technical safety assessments. A status of “inspected” is a recorded administrative task and does not replace an examination by a competent person. A fault report is not automatically a request, and completed work is not equivalent to verified functionality.

Workflow – how the templates are used

  1. Document the premises and check the lease agreement, right of use and allocation of responsibility.
  2. Determine the relevant interval, responsible role and practical inspection points based on the premises and the organization.
  3. Perform an inspection and document observations without claiming expert inspection where it is lacking.
  4. Record faults and send them to the right person responsible; let a competent person make a decision about a possible request.
  5. Document actually completed actions and perform a separate relevant re-inspection.
  6. Summarize open questions, costs and decisions in the monthly report and follow up at the next inspection.

Legal prerequisites and safety limits

The Act (2003:778) on Protection Against Accidents, Chapter 2, Section 2 contains requirements for reasonable fire protection for owners and right-of-use holders of buildings and other facilities. Allocation of responsibility and what is reasonable needs to be assessed concretely. The Swedish Defence Research Agency on responsibility and systematic fire protection work. This product does not constitute SBA documentation or fire protection approval.

If the registers contain personal data, the organization must assess the purpose, legal basis, access, storage and security in accordance with applicable GDPR. Use internal job roles and reference IDs instead of personal data that is not needed. IMY – non-profit organizations' processing of personal data.

Is the package suitable for both rented and owned premises?

Yes, for administrative documentation. For a rented premises, the organization must first check what maintenance and what inspections belong to the landlord and the organization respectively.

Can the premises inspection replace SBA or OVK?

No. Fire protection work, mandatory ventilation inspection and other legally required inspections have their own requirements and must be handled separately.

Through separate registration and status fields. A report does not mean that a request or decision has been made; completion and verified re-inspection are also kept separate.

The PDF versions are searchable and printable. Word files are used for editing; interactive PDF form fields are not included as a verified function.

Are the main templates in English?

No. The Swedish documents are supplemented by an English User Guide that describes use under Swedish conditions, not any adaptation to foreign law.
