About this template
Awnings & External Sun Protection – Asset Register, Fault Reporting and Service Follow-up is a document package for housing associations, property owners and managers who want to keep existing awnings properly organized. Register the installation, conduct safe visual inspections, document faults and ordered service, receive the supplier's report and follow up with a separate post-inspection. Word, searchable PDF and Excel are included.
Important limitation: The templates provide administrative support, not a technical safety inspection, wind load calculation, electrical installation instruction or building permit certificate. Physical work on an awning or electrical installation requires the appropriate expertise.
01. Package Contents
15 customer files: five Swedish working documents, one Swedish guide and one English User Guide – all seven as editable DOCX files and corresponding searchable and printable PDFs – plus an Excel workbook (XLSX) with nine tabs. A total of seven standalone documents in two formats and a separate Excel tool. The English guide does not mean English main templates.
02. What the Files Contain
Separate asset register, inspection log, fault report, service order, post-inspection and clear instructions. Excel contains 300 pre-filled rows in six operational registers and 15 administrative summaries. Reported, ordered, completed, post-inspected and permitted to return to service are different statuses.
When is this document package suitable?
For the management of existing terrace awnings, facade awnings and other external sun protection. Use it to collect IDs, observations and actual reports during operation and maintenance. The package is not suitable as an installation description or individual permit decision. For window and sealing maintenance, there is a separate window maintenance log.

Excel – What Does the Nine-Tab Workbook Do?
The tabs are Start, Assets, Inspections, Fault Cases, Service, Measures, Post-Inspection, Dashboard and Read Me. The workbook summarizes manually registered assets, inspections with deviations, fault cases, orders with dates, completions with actual dates and separate return-to-service decisions. Tested formulas distinguish, among other things, between ordered service without a completion date and actually reported completed service.
Excel does not test fastenings, wind strength, electrical installation, safe operation or permit requirements. No macros, automatic alarms or external services are required. All test data have been removed from the customer file.
How to Use the Logs
- Register each awning with its own ID as well as the actual manufacturer, location and associated instructions.
- Determine inspection routines based on actual instructions, management responsibility and risks – not a standard interval.
- Perform only risk-free visual inspection from a safe location and register Not assessed where expertise or information is lacking.
- Document faults, any actual limitations on use and service orders.
- Save the performer's actual report and information on what was actually done.
- Document separate post-inspection and a responsible decision on continued use.
Legal and Technical Prerequisites
Elsäkerhetsverket explains the electrical installation owner's responsibility for safety, inspections and appropriate expertise during work. If a motor-driven awning touches a fixed electrical installation, a correct assessment of which electrical works may be performed and by whom is required.
Boverket describes when facade changes may be affected by building permit rules. For awnings, design, location, building type and protective provisions may play a role. See also Stockholm City's examples of awnings; the municipality's guidance cannot be generalized to all of Sweden.
The product area is linked to the standard family SS-EN 13561 according to the SIS catalog. The full standard text and exactly applicable version have not been verified for this template. No test values, wind classes or claims about standard-compliant certification are included.
Frequently Asked Questions
How often must an awning be inspected?
There is no general interval in the package. Base it on the actual awning's instructions, environment, risks and other applicable requirements. For certain installations or service terms, special intervals may apply.
Can a property manager repair or functionally test an awning with the forms?
No. The forms do not provide technical authorization. They help describe observed problems and preserve reports from a qualified performer.
Can Excel determine if the awning may be used after damage?
No. Excel manually registers a dated decision but does not make a technical safety assessment. Without actual inspection and decision, use should not automatically be marked as permitted.
Is a building permit required for the awning?
It may be required depending on construction, location, building type and local regulations. Check with the municipality for the case in question.
Are the PDF files fillable and are English templates included?
The PDF files are searchable print versions, not interactive PDF forms. The Word files are editable. An English user guide is included, but the main templates and Excel are in Swedish.
