About this template
Membership certificates and proof of membership for non-profit organizations. A complete administrative template package for requesting, verifying, issuing, and, if necessary, correcting certificates of membership. You get editable Word files, corresponding searchable and printable PDF versions, and an Excel register with nine tabs. The package is suitable for association boards, membership officers, secretaries, and administrators.
01. Package Contents
15 customer files in a ZIP: five Swedish working documents, a Swedish user guide and an English User Guide, all in editable Word (7 DOCX) and searchable PDF (7 PDF). In addition, an Excel workbook (1 XLSX) with nine tabs is included. The PDF versions are intended for reading and printing, not as interactive forms. The English user guide is an instruction manual and does not mean that the main templates are in English.
02. What the Files Contain
Templates for certificates of current membership status, proof of membership for a specified period, certificate requests, confirmation of specially verified fee status, and an internal issuance and correction log. The guides describe controls, authorization, legal limits, and GDPR. Excel provides an overview of registered cases, issuances, disclosures, and corrections.
When Is the Package Suitable?
For Swedish non-profit organizations that need to verify a verified membership or membership period, handle requests, and document who has checked and issued the certificate. This product complements membership applications and acceptance notices as well as membership registers. It does not create a membership or change the association's bylaws.

The Excel Tool – Nine Tabs
Overview, Member ID, Requests, Certificates, Fee Control, Permissions, Disclosure, Corrections, and Read Me. Eight tested compilation formulas count, among other things, registered member references, marked active membership status, incoming requests, issued certificates, verified fee checks, disclosures, and corrections. Status lists are available for documented administrative steps. The register contains no sample persons and can be used with pseudonymous IDs. Excel does not determine legal membership, the authority to issue certificates, or the right of disclosure. No macros, automatic emails, signatures, or external data connections are included.
Workflow – From Request to Certificate
- Check the association's bylaws, current membership decision, and the issuer's actual authority.
- Receive the request and determine which membership status or period needs to be verified.
- Verify identification and register records in the association's approved system.
- If fee information is required: separately verify actual payment and applicable fee terms.
- Fill in the correct certificate template and select only the information necessary for the purpose.
- Assess in particular whether the certificate may be disclosed to a third party and which channel is secure.
- Record the actual issuance event and document corrections or changed information.
Legal Limits and GDPR
A non-profit organization's membership terms and decisions are primarily regulated by the association's bylaws and applicable association law. See the Swedish Tax Agency's guidance on non-profit organizations. A membership certificate does not automatically imply voting rights, membership benefits, approval of fee payment, or public authority certification.
Data protection: process only relevant information and assess the legal basis for each disclosure. The association's focus may make membership sensitive personal data, for example if it reveals religion or political views. See IMY's guidance on membership registers and IMY's guidance on associations. Do not place sensitive or protected information in an unprotected Excel sheet. A registered membership fee is not automatically a tax receipt.
Frequently Asked Questions
Is a proof of membership the same as a membership decision?
No. The proof documents an actually verified fact. Membership is based on bylaws, a relevant decision, and other association law requirements.
Can membership certificates be issued for former members?
Yes, if the association's historical records verify a certain period. The certificate must then expressly refer to the historical period and not describe the person as a current member.
Can an outsider automatically receive membership information?
No. Disclosure to a third party requires a separate assessment of the legal basis, purpose, data minimization, and security.
Does a membership certificate show that the membership fee has been paid?
Not if the payment status has not been specifically verified. The package's fee status template is only used after checking the relevant records.
Is Excel a replacement for a protected membership register?
No. The Excel tool is an administrative aid with reference IDs and statuses. The association's actual membership register and any sensitive personal data must be handled securely.
Is an English membership certificate template included?
No. The five main templates are in Swedish. The English User Guide explains usage and does not change the application of Swedish law.
