About this template
Secure Data Erasure & IT Equipment Decommissioning 2026/2027 is a document package for Swedish companies that need to organize and document the decommissioning of computers, servers, SSD/HDD drives, USB devices, and other storage media. You receive separate materials to identify media, assess risk, select a method, document the erasure actually performed, review the verification, track the transfer, and make an authorized final decision.
SEK 79 · one-time purchase · digital ZIP. The package contains 7 editable Word files (DOCX), 7 searchable PDF files, and 1 Excel register (XLSX) with nine tabs, totaling 15 files. No physical shipment or subscription. Product version 1.0, dated October 28, 2026.
Note: The templates are documentation aids, not a program that erases data. A protocol, a completed checklist, or an Excel status does not in itself prove that data has actually been erased. Results must be verifiable using an actual method, log, check, and authorized decision in each individual case.
Who can benefit from the templates?
IT managers, small businesses, data protection officers, help desks, equipment managers, and others who need to track devices through reuse, transfer, recycling, or waste management. The package complements IT offboarding and inventory registers but is intended for the planned and actual sanitization process of the data carrier itself.
01. Package Contents
Five Swedish work templates, one Swedish user guide, and a separate English User Guide. All seven are available in both Word (DOCX) and searchable PDF. In addition, there is an Excel workbook with nine tabs. Total of 15 customer files.
02. What the Files Contain
Fields for asset ID, storage media ID, owner, data classification, retention requirements, method principle, tool version, log reference, verification result, residual risk, recipient acknowledgment, and authorized decision. Excel provides administrative status overviews and registers – no automatic erasure or security certification.

Excel Register – Nine Tabs
Overview, Devices, Risk Control, Erasure Assignment, Verification, Transfer, Deviations, Final Decision, and Read Me. The overview shows the number of registered devices, assignments, failed verifications, open deviations, and manually recorded decisions regarding quarantine or release.
It is not an automated security control system. A "Release" status means that the user has manually recorded a decision, not that Excel has validated logs or tested the data carrier. If errors or insufficient documentation are discovered, the matter must be investigated separately. The customer version of the workbook contains no macros, API connections, or test cases.
How to Work with Secure Decommissioning
- Inventory every data carrier. Enter the device ID, serial number, media type, and internal owner. Check separate drives, other storage media, and relevant copies.
- Assess the information and retention requirements. Ensure that erasure does not violate applicable rules, agreements, archiving requirements, or valid holds. Assess the sensitivity of the information and its intended disposition.
- Select an approved method. Document the technical prerequisites and the selected method principle. Base this on the organization's risk assessment and technical standards appropriate for the specific media.
- Document the actual performance. Record the tool, version, times, operator, scope, and log evidence without entering confidential information into the document.
- Verify the result separately. Check that the predetermined criteria are met, which media were covered, and whether residual risk remains. Failed or unverified devices must not be released based solely on the spreadsheet status.
- Track the transfer and waste. Document the individuals and organizations receiving the material, the transport or receipt reference, and relevant documents.
- Conclude with an authorized decision. Decide on reuse, quarantine, or another disposition, and follow up on open deviations.
GDPR, Data Minimization, and Security
GDPR Article 5 includes data minimization and the integrity and confidentiality of personal data, among other things. Article 32 requires appropriate technical and organizational security measures based on risk. The Swedish Authority for Privacy Protection (IMY) explicitly cites erasure/deletion as an example of a technical security measure; no single erasure method is generally prescribed for all organizations.
NIST SP 800-88 Rev. 2 – Guidelines for Media Sanitization was published in September 2025 and provides guidance on how a storage media sanitization program can be designed. It is technical guidance and not Swedish law. The choice of method and verification must be adapted to the risk, technical implementation, and the information's protection requirements.
Electronic waste: Waste management, potential producer responsibility, waste classification, and reporting to authorities are assessed separately according to relevant Swedish regulations and the organization's actual role. Excel does not replace necessary waste documentation or reporting.
Frequently Asked Questions (FAQ)
Does the document package erase data on a computer or hard drive?
No. The package contains administrative templates. The erasure itself requires an actual, technically appropriate, and documented action using a tool or process selected and verified by the organization.
What is the difference between an erasure protocol and an erasure certificate?
The protocol helps you record what was actually done, which method was used, and what verification result was documented. Any certificate from an external provider must be assessed separately based on its actual content, scope, and verification. No ready-made security certification is included.
Is it enough to format an SSD?
Not necessarily. It depends on the media, how the action is performed, what data is present, and the protection requirements. The current NIST guidance addresses risk-based method selection and control; neither quick formatting nor file deletion should be assumed to be sufficient.
If all checklists are completed, can we resell the computer?
Not without a separate assessment and authorized decision. Check for actual erasure, remaining storage media, any copies, and agreements or security requirements. A completed Excel register does not prove that all information has been erased.
Does GDPR apply to all IT devices?
GDPR applies when personal data is processed. Other confidential business information may also require secure handling according to agreements or internal rules. The assignment must be assessed based on the actual data.
Are all work templates available in English?
No. Five work templates and the Swedish user guide are in Swedish. A separate English User Guide provides instructions in English. The work templates are not fully translated.
What programs do I need?
The Word files are DOCX and the Excel register is XLSX. They can be edited in compatible programs. The PDF files are searchable documents for viewing and printing, not fillable e-forms. The ZIP package contains no erasure software.
