About this template
Forklift Charging & Battery Charging Area – Safety Inspection, Operations Log and Non-conformities is a document package for employers, warehouse managers and operations organizations that want to document charging areas for battery-powered forklifts, risk-free visual safety inspections, charging sessions, fault reports and maintenance actions. You get editable Word templates, searchable PDF versions and an Excel register with nine tabs. The package is designed for the Swedish work environment.
Crucial distinction: Specific regulatory requirements for the charging and maintenance of lead batteries do not automatically apply to lithium-ion batteries. The risk assessment must always be based on the actual battery chemistry, charging equipment, environment and manufacturer's instructions. This document package is not a safety inspection, risk assessment carried out by a professional, or instructions for electrical installation and battery repair.
01. Package contents
15 customer files: seven Word documents (DOCX), seven corresponding searchable A4 PDFs and one Excel workbook (XLSX). The seven Word/PDF documents comprise five Swedish work templates, one Swedish user guide and one English User Guide. The Swedish main templates and Excel are not translated into English. The files are delivered digitally as a ZIP after they have been manually linked in Shopify Digital Products and the product has been published.
02. What the files contain
Registers for charging areas, battery type and inspection records; inspection form for visual observations; charging log with actual sessions; incident/non-conformity report; maintenance, action status and separate return-to-service decision. Excel contains six operational registers, nine tabs and 15 summaries. Ordered maintenance is not considered completed, and return-to-service is not considered permitted without a separate dated decision.
When are the templates used?
For documentation at workplaces with charging stations, charging areas or special areas for forklift batteries. The documents support in-house safety work and can be used together with forklift permits and risk assessments of forklift traffic and risk assessments of warehouse work. The other products do not replace the battery-type-specific assessment of the charging area.

| 8. Excel – Operations register | Nine tabs and 15 administrative summaries | Swedish | XLSX |
The Excel tool – nine tabs
Excel contains Start, Charging Areas, Inspections, Charging Sessions, Non-conformities, Actions, Maintenance, Dashboard and Read Me. The registers have 300 prepared input rows each and status lists for battery chemistry, area status, non-conformity, processing and action. The dashboard summarizes 15 administrative key figures. The formulas are tested so that, among other things, a completed charging session requires an actual end date and permitted return-to-service requires a registered decision date.
Excel does not calculate gas formation, fire risk, ventilation, the battery's actual state of charge or electrical safety. No macros, connected sensors, alarms or automatic safety decisions are included.
How to use the document package
- Correctly identify the battery chemistry, charger, battery and forklift, as well as current manufacturer instructions.
- Document an actual risk assessment and choose the legal control path that actually applies, especially for lead batteries compared to other battery types.
- Register each charging area with a stable area ID, associated equipment and responsible function.
- Only perform permitted and risk-free visual observations; use “Not assessed” when competence or documentation is lacking.
- Record charging sessions, actual observations, any non-conformities and protective measures taken in separate documents.
- Document the maintenance order and actually completed action with a completion report. Let the responsible function separately document the decision on continued use.
Which work environment regulations apply?
AFS 2023:10 – Risks in the work environment contains in Chapter 10, Sections 14–19, special rules for the charging and maintenance of lead batteries that power vehicles or mobile machinery. Among other things, it covers special charging areas, ventilation, ignition sources, fire extinguishing equipment, signage, safe connection, eye washing, competence and written instructions.
The Swedish Work Environment Authority's checklist for forklift charging areas explicitly states that these special lead battery rules do not automatically apply to other types of batteries, such as lithium-ion. For other chemistries, the employer must establish relevant measures based on the risk assessment, among other things according to AFS 2023:10 Chapter 7. For lead batteries, there are, among other things, hydrogen, explosion and acid risks, which are described in the Swedish Work Environment Authority's guidance on lead batteries.
The documents do not contain general airflow values, technical electrical testing methods or instructions for working with damaged batteries. The operation must apply the correct regulations, manufacturer documentation and competence requirements in the actual situation.
Frequently Asked Questions
Do the same requirements apply to lead batteries and lithium-ion batteries?
No. AFS 2023:10 Chapter 10 contains special provisions for lead batteries used in vehicles and mobile machinery. For lithium-ion and other chemistries, the employer must assess the risks and choose suitable measures based on applicable regulations and the manufacturer's documentation.
Can I use the template as proof of an approved charging area?
No. The forms and Excel are documentation aids. A physical safety assessment, any technical inspections and the correct competence must exist separately.
Can Excel calculate the ventilation requirement?
No. Excel only summarizes manually registered administrative data. There is no technical ventilation or explosion calculation.
Is a maintenance order sufficient to resume charging?
No. Actually completed maintenance, any additional inspection and a separate responsible decision are documented separately.
Are the PDF files digitally fillable?
They are searchable and printable, not interactive PDF forms. The Word files are editable in compatible programs.
Is the entire package translated into English?
No. A separate English User Guide is included. Five work templates, a Swedish guide and Excel are in Swedish and intended for Swedish conditions.
