08 Case register with nine tabs Excel

Excel tool with nine tabs and automatic key metrics

Overview counts registered properties and incidents, open cases, documented police reports, ordered or ongoing remediation, actions and photo references. Costs includes a formula for VAT and the total including VAT. The other tabs link Property ID and Incident ID, status, actual case numbers, contractor work and file references. The customer file is delivered without sample entries.

How to use the template package

  1. Register the relevant area with a Property ID and create a separate Incident ID for each identified damage.
  2. Photograph the damage safely and document the time, location, extent and actual observations. Keep the original files and document access.
  3. Decide who will make any police report or insurance claim through the respective official channel. Save only actual reference numbers.
  4. Order professional remediation after assessing the documentation, materials, working environment and any environmental risks.
  5. Follow up on the contractor's documentation, post-inspection, invoices and the closure of the case in the Excel register.

Legal premises and security limitations

The Penal Code (1962:700), Chapter 12. contains rules on criminal damage. Graffiti may constitute criminal damage, but the template does not determine the criminal charge or who is responsible. The Police recommend that criminal damage be reported primarily via e-service, and that damage be photographed for documentation for the police report and insurance claim. In the event of an ongoing crime or immediate danger, use the appropriate emergency channel.

GDPR and IMY: Images of identifiable persons may constitute personal data and require a proper legal basis, purpose, access control and an assessed deletion routine. Information about suspected perpetrators or legal violations is subject to special restrictions. The templates do not encourage collecting such information in general registers or sharing material publicly. The Swedish Work Environment Authority's AFS 2023:10, Chapter 7. contains rules on the investigation and risk assessment of chemical risk sources during affected work.

Important: The template package is an administrative documentation product, not an official agency form, officially submitted police report, evidence certification, insurance guarantee or chemical remediation instruction. It contains no recommended chemicals, dosages or working methods. The competent contractor is responsible for the choice of method, working environment and current environmental management. No external lawyer, data protection specialist or remediation specialist has reviewed the templates.

Frequently asked questions

Does the document automatically submit a police report?

No. The document helps collect factual documentation. The report itself is made separately to the Swedish Police Authority according to their instructions.

Can a housing cooperative use the package for multiple properties?

Yes. There are separate Property IDs and Incident IDs, and the Excel register is intended for multiple properties and damage incidents.

Can I register a suspected perpetrator?

The register is not intended for unsubstantiated personal accusations. Information about legal violations linked to an identifiable person requires special legal assessment and access control.

Does it include instructions for removing graffiti yourself?

No. The remediation form is for ordering, professional execution and post-inspection; it does not prescribe any method or chemical.

Are the PDF files editable?

The PDF files are searchable read-only and print versions. Use the seven editable Word documents and the Excel workbook for your own data entry.

Does Excel automatically calculate costs?

Yes. There is VAT calculation and automatic summaries of actually registered cases, actions and costs.
