About this template
Property damage report – template for water damage, fire damage, and insurance claims
Do you need to document property damage, water damage, or fire damage in a structured way? With this complete package, you receive an editable property damage report template, a real damage and inspection report, a log for emergency measures and contact with the insurance company, as well as templates for photo evidence, cost documentation, and insurance decisions. A separate Excel workbook compiles the cases without automatically determining whether the damage is covered by the insurance.
15 delivery files: 7 Word (DOCX), 7 searchable A4-PDFs, and 1 Excel (XLSX) with nine tabs. The five main templates are in Swedish. A Swedish user guide and a separate English User Guide are included. Adaptable for private villas, properties, or property management. In the case of tenant-owned apartments, rental properties, or housing associations (BRF), the division of responsibility between residents, the association, property owners, and various insurances must be verified.

How to document water damage or other property damage
- Put safety first. If people are in danger, contact 112. Avoid unsafe electricity, damaged building parts, and other hazards. Hire authorized emergency services if needed.
- Limit consequential damage safely. Document date, action, person responsible, and receipt. Damage mitigation must not take place in a way that compromises safety.
- Contact the insurance company immediately. Make the formal notification via the company's designated channel and save the case number and receipt confirmation.
- Create a case reference. Use the same damage ID in all Word templates and in Excel to avoid confusion.
- Describe the sequence of events objectively. Distinguish observed water damage from a suspected but not proven cause of leakage.
- Document the extent. Use the damage report for rooms, materials, measurement methods, experts, and assessed needs for further investigation.
- Save original photos and documentation. Preserve dates, filenames, photo references, proofs of purchase, quotes, invoices, and costs for emergency measures.
- Log written contact. Register questions, answers, any instructions, and the actual agreement with the insurance company and service providers.
- Separate quotes and actual costs. An estimated amount is not the same as a paid expense or insurance compensation.
- Register only verified decisions and payments. Check the insurance company's written decision, terms, deductible, and any appeal.
What does the Insurance Contracts Act say about damage reporting?
According to the Insurance Contracts Act (2005:104), there are provisions stating that the insured must, to the best of their ability, try to prevent or reduce damage (duty to mitigate). For consumer insurance, this is covered in Chapter 4, Section 7. Claims adjustment, notification, and limitation periods are covered in Chapter 7. For business insurance, there are special rules in Chapter 8. Applicable insurance terms and insurance type must therefore always be checked.
The Swedish Consumer Agency recommends that you report damage as quickly as possible and save evidence of both the damage and the compensation claim. The Swedish Consumers' Insurance Bureau reminds you that you must provide truthful information, show relevant evidence, and save the notification confirmation.
No fixed general time limit for notification is calculated in this template. The Insurance Contracts Act's statute of limitations rules are not the same as the company's instruction to report the damage without delay. Do not wait with the notification just because limitation rules contain longer time frames.
Villa, tenant-owned apartment, and housing association – different insurance responsibilities
In the case of villa damage, the terms of the villa insurance may be relevant. For tenant-owned or rental apartments, the damage may instead concern the association's property insurance, tenant-owner addition, home insurance, and/or the property owner's insurance. It is not possible to determine payment or repair liability based solely on the location of the damage. Check insurance, applicable rules, and affected parties before accepting costs.
Excel register with nine tabs – no automatic damage assessment
Overview, Cases, Damage Items, Emergency Measures, Documentation, Costs, Contacts, Decisions, and Read me. Excel provides compilations of registered cases, manually reported or ongoing cases, actually verified completed measures, and substantiated expenses. The cost table distinguishes estimated amounts from actual costs, registered payments, and remaining differences. The formulas have been tested with separate temporary data and the workbook is delivered empty.
A formula cannot assess insurance coverage, establish the cause of a leak, determine the compensation level, deductible, or legal limitation. Such an assessment requires a current insurance certificate, terms, expert assessment, and the company's actual written decision.

FAQ about property damage reporting
How do I make a damage report for water damage?
Limit the damage safely, contact the insurance company as soon as possible, use their own report, and save documentation. Supplement with this template for timeline, photos, inspection, and costs.
Is this template the insurance company's official damage report?
No. The package is an independent documentation support and does not replace the insurance company's report form, instructions, or assessment.
Can I use the template for both water damage and fire damage?
Yes. You specify the type, extent, and safely observed information yourself. Emergency safety measures and assessment must always be adapted to the damage.
Does Excel calculate what insurance compensation I am entitled to?
No. The workbook compiles documentation and decisions already made; it does not determine insurance coverage, age deductions, deductibles, or final amounts.
Do I get reimbursed for every receipt or quote?
No. A quote is only a price proposal, an invoice shows a cost, and the insurance company decides what is covered by the terms. The documents help you keep them separate.
Can a housing association or landlord use the package?
Yes, as internal documentation, but the division of responsibility, applicable insurance, and handling of personal data must be tested for each situation.
Are the templates available in English?
The five main documents are Swedish. The package contains a Swedish user guide and a separate English user guide, not five translated main templates.
