About this template

Supplier Termination & Supplier Handover B2B 2026/2027 is a professional document package for Swedish companies that need to wind down or transfer an existing supplier relationship. Collect contracts, outstanding deliveries, responsibilities, IT permissions, personal data issues, and financial items in a documented process – without mixing up an internal checklist with a legally valid termination.

SEK 79 · one-time purchase · digital ZIP. You get 7 editable Word files (DOCX), 7 searchable PDF files, and 1 Excel register (XLSX). Total of 15 customer files. No subscription and no physical delivery.

Important: The templates apply to administrative supplier termination between companies, not consumer agreements, a ready-made termination letter, a settlement, or an automatic legal approval. The contract and applicable law determine the timing, formal requirements, obligations, and any outstanding claims. Customize each document before use.

Who is the supplier termination package for?

For example, procurement managers, finance functions, IT and information security managers, and operations managers when a service provider or other contracting party is to be replaced, the contract expires, or the collaboration ends according to a separate termination.

Excel register with nine tabs

The workbook contains Overview, Cases, Contracts, Handover, Permissions, Data Management, Finance, Actions, and Read Me. The overview shows the number of registered termination cases, ongoing handovers, manually closed cases, and open tasks.

In Finance, an indicative amount = quantity or hours × unit cost is calculated. For example, 3 × SEK 249.50 gives a value of SEK 748.50. Invalid and negative amounts trigger a control message. The total is only an administrative aid, not a claim or an invoice. The document contains no macros, account links, automatic emails, or integrations with IT, invoicing, or accounting systems.

How to perform a controlled supplier handover

  1. Check the contract: identify the parties, contract version, commitment period, termination conditions, and whether a valid notice of termination has actually been sent. Recording an internal plan does not terminate the contract.
  2. Establish a handover plan: specify materials, outstanding deliveries, licenses, support commitments, and documentation that the receiving organization needs.
  3. Coordinate permissions: inventory accounts, API keys, access cards, keys, and equipment. Revocation must occur in the actual systems, at the agreed time and according to security procedures.
  4. Handle personal data: investigate whether the supplier is a personal data processor and document instructions for return or deletion, taking into account legal exceptions for continued storage.
  5. Reconcile the finances: check outstanding invoices, credits, warranty liabilities, and disputes in the correct general ledger and contract.
  6. Complete and archive: document actually completed controls, outstanding commitments, authorized certification, and relevant archive references.

Legal boundaries – contracts, GDPR, and accounting

What is required to terminate a commercial contract depends on the specific contract and applicable rules. An internal checklist does not create a unilateral right to terminate, discontinue the service, or receive compensation. A termination receipt is also not automatically a full and final financial settlement or a waiver of ongoing claims.

If the supplier is a personal data processor, GDPR Article 28.3 g applies: the processor agreement must specify how personal data is to be returned or deleted at the choice of the data controller when the service ends, unless EU law or national law requires continued storage. Security regarding execution must be handled separately, including according to Article 32. A completed form does not perform technical deletion and does not alone constitute proof of such.

For accounting information, the Accounting Act (1999:1078), especially Chapter 7, applies when the material is subject to the retention requirements of the Act. A termination process therefore does not generally mean that all data, invoices, and logs must be destroyed.

Frequently Asked Questions (FAQ)

Can I terminate a supplier agreement with this template?

No. The template is a support for internal control and handover. A legally valid termination or notice of termination must be assessed and executed according to the relevant contract and applicable law. Only then is the follow-up documented here.

What is included in supplier offboarding?

Normally, you need to check the contractual relationship, plan the transition, document materials and open deliveries, revoke access correctly, decommission or return equipment, handle personal data, and reconcile outstanding financial issues. The package provides separate templates for these steps.

Must a supplier delete all our data immediately?

Not necessarily. If the supplier is a personal data processor, return or deletion must be handled according to GDPR Article 28.3 g, the choice of the data controller, and the processor agreement. Statutory retention requirements may result in exceptions. Requirements and implementation must be verified separately.

Can Excel automatically revoke permissions?

No. The Excel register documents which accounts and resources are to be reviewed. No accounts, passwords, tokens, access cards, or keys are deactivated by the spreadsheet. Technical changes and post-checks are performed in the correct system.

Is the final receipt the same as a settlement?

No. The template's receipt is intended to record a defined operational final status. If the parties are to finally settle all claims or waive rights, a separate intentional legal agreement with the correct content and authorized parties is required.

Are all documents also in English?

No. Five working templates and one guide are in Swedish. A separate English User Guide explains the workflow in English, but is not an English version of all legal template texts.

Are the PDF files editable forms?

You get editable DOCX and XLSX files. The PDF versions are searchable and designed for viewing/printing, not interactive PDF forms.
