02. What the files contain
Fields for garage ID, zone, actual inspection time, observation, risk priority, protective measure, fault report, authorized requester, performer, actual completion certificate, post-check and outstanding deficiency. Excel provides separate registers and administrative status counters. Ordered does not mean completed; completed is not automatically post-checked. A green or completed case is not an official certificate of safety.
Who should choose the document package?
Example 1: A housing cooperative board needs a common, traceable routine for garage inspections and faults reported between the board, property manager and service contractor. Example 2: A property manager needs to distinguish between observed damage, ordered action, reported completion and separate verification of the result.

The Word files are editable in a compatible word processor. The PDF files are searchable A4 print versions but do not have digital fillable fields. Excel is editable in a compatible spreadsheet program. Full compatibility with all program versions or operating systems is not verified.
The Excel tool in practice
Nine tabs: Overview, Garage Zones, Inspection Rounds, Risks, Work Orders, Completions, Post-Checks, Non-Conformances and Read Me. The overview, for example, counts sent work orders and outstanding deficiencies with controlled COUNTIF formulas. The registers each have 100 empty input rows, identifiers and a duplicate indicator. Drop-down lists facilitate status entry. A sent work order is not reported as completed unless there is an actual completion certificate. No formulas determine legal liability, compliance with the law or that a facility is safe.
How to use the templates
- Clarify the garage, responsible organization, contractual boundaries, relevant zones and communication channels.
- Create zone IDs and select the inspection points applicable to the facility in question.
- Document an actual inspection round and do not leave uncontrolled parts open.
- In case of risk: take appropriate immediate protection and contact the correct function; create a separate action order.
- Record only actually reported completion in certificates and then a separate post-check.
- Archive links between inspection round, order, photo reference, certificate and non-conformance. Limit unnecessary personal data.
Legal prerequisites and important limitations
Property maintenance: the Planning and Building Act (2010:900) Chapter 8, Section 14 deals with the maintenance of buildings. For land, Chapter 8, Section 15 may also be relevant. Exact obligations must be assessed based on the facility. Read the PBL at the Swedish Parliament.
Fire protection: the Act (2003:778) on Protection Against Accidents Chapter 2, Section 2 applies reasonable fire protection measures for owners or rights holders. This garage protocol does not replace specific fire protection work or required equipment. Read the Act at the Swedish Parliament.
Work environment: if employees work in the garage, the employer needs to conduct their own risk assessments according to applicable work environment regulations. Swedish Work Environment Authority on risk assessment. Technical installations such as elevators, doors, electricity, charging stations and ventilation may require special professional inspection; a visual garage inspection never replaces such inspection.
