About this template
Social media policy and publishing routines for non-profit organizations – a template package in editable Word, searchable PDF, and Excel for Swedish organizations that need to organize their official social channels, quality-assure content, and document moderation actions.
Important: No template automatically approves personal images or future publications. The organization must itself check, among other things, the legal basis under GDPR, rights to the material, special protection for children, the relevant platform, and when content must be identified as advertising. The package is not a legal guarantee or a service that publishes posts automatically.
When is this package suitable?
When a non-profit organization wants to develop an internal social media policy, decide who may create and publish posts, introduce pre-review, consistently moderate comments, and follow up on actions taken. The package is suitable for both a smaller board and an organization with multiple communications staff. For a separate document regulating photography or specific image publication, a separate assessment and, if necessary, a photo consent form are required instead.
01. Package contents
Five practical working documents, a Swedish user guide, and an English User Guide. All seven are delivered in editable Word and corresponding searchable, printable PDF. In addition, an Excel workbook with nine tabs is included. 7 DOCX + 7 PDF + 1 XLSX = 15 customer files. Word/PDF are two format versions of seven documents, not fourteen different templates.
02. What the files contain
Social media policy, account permissions and role matrix, publishing checklist, moderation and incident routine, content calendar, two guides, and an Excel tool for administrative statuses and follow-up. The material distinguishes planned work from reviewed, approved, published, completed, and verified.

The Excel tool: nine tabs with functional registers
Excel contains Overview, Channels, Posts, Reviews, Moderation, Actions, Decisions, Controls, and Read Me. The compilation shows the number of registered channels, drafts, posts under review, approved, and manually registered published posts, open moderation cases, and actions per status. The workbook has validated status fields, formulas, and space for internal reference IDs.
Excel does not perform legal compliance checks, transfer posts to social media, or determine whether something is advertising. Avoid writing passwords, personal identity numbers, identifiable complaints, and sensitive information in a shared register.
How the organization gets started
- Inventory the organization's actual official accounts, responsible roles, and access rights.
- Customize the policy and document an actual decision by the authorized function.
- Determine routines for review, GDPR, copyright, communication, and potential sponsorship.
- Register posts and perform a check of the specific content before approval.
- Publish only after relevant approval, and register the actual URL and time afterward.
- Follow up on comments, complaints, moderation, corrections, and actually completed actions separately.
Legal prerequisites – before every publication
Personal data and images
Identifiable persons in images or audio may involve the processing of personal data. The organization needs to assess the purpose, legal basis, information, and any objections. Consent is not the only possible legal basis and is not automatically a general permission for all future use. Children and sensitive personal data require special care. See IMY's guidance on social media and IMY's advice on event images.
Copyright and advertising
Check that the organization is allowed to use photographs, texts, audio, and video on the relevant channel according to applicable law and license; see PRV on copyright for images. If a post is actually marketing, rules on advertising identification and senders may apply; see Konsumentverket on hidden marketing.
Frequently asked questions
Must the organization always have consent for images?
No. The legal basis must be assessed in the concrete situation. Consent is one possibility but not the only one; a publication may still be prohibited if other requirements are not met.
Do special rules apply if children appear in a post?
Yes, children's personal data have special protection. Make an individual assessment and choose non-identifiable material or refrain when the conditions are uncertain.
Can Excel check whether a post may be published?
No. Excel can register humanly performed checks and compile their status, but does not perform any automatic assessment of GDPR, copyright, or advertising rules.
Can we remove all negative comments?
It depends on the circumstances, the organization's rules, the platform terms, and relevant law. Substantive objections should not automatically be equated with prohibited content.
Are image consent or influencer agreements included?
No. The package is an internal publishing and moderation process. Separate agreements and consents must be selected and customized when they are actually needed.
Are the PDF files fillable, and are the templates in English?
The PDFs are searchable and printable but do not have verified interactive form fields. The Word files are editable. The five working documents and the Swedish guide are in Swedish; the English User Guide provides instructions but is not a foreign legal adaptation.
