Work Order & Service Report 2026/2027 is a professional and editable template package for Swedish service companies, contractors, technicians, workshops, and property managers. The amounts in the Excel register are billing bases excluding VAT based on the prices you input yourself — not automatically invoiced or accounted revenue. No ROT/RUT tax deductions or VAT rates are pre-configured.

How to use the work order package

  1. Create a work order: Assign a unique ID (e.g., AO-0001) and register customer, object, and scope in the Word template and Excel.
  2. Document the terms: Refer to the actual quote, service agreement, or customer order. Specify responsibilities and any requirements for additional work.
  3. Plan for safety: Check competence, workplace risks, access, and technical instructions where needed.
  4. Record execution: Fill in completed steps, working hours as decimals, and materials with the same order ID in Excel.
  5. Fill out the service report: Note what was actually checked, measured values, parts replaced, and what was not checked.
  6. Follow up on defects: Document deviations, the person responsible, deadlines, and verification before closing a case.
  7. Reconcile and archive: Check order lines and agreements before issuing a correct invoice in a separate billing system. Archive all associated documentation.

What rules should you be aware of?

A work order is essentially a practical planning and documentation tool. It is not automatically a legally complete agreement. When working for private individuals, the Consumer Services Act (1985:716) may apply. The Swedish Consumer Agency emphasizes, among other things, the importance of agreements regarding fixed, approximate, or variable prices and about changes or additional work. As a main rule, an approximate price estimate may not be exceeded by more than 15 percent for consumer services, unless applicable exceptions or specific conditions exist. Always check the situation and the agreement.

A customer signature that only acknowledges receipt of a service report cannot simply be interpreted as acceptance of a changed price or a waiver of the right to complain. Document necessary approvals correctly before the work is performed.

Work orders and service reports can provide valuable documentation but do not replace an invoice or accounting voucher. The Swedish Tax Agency specifies requirements for invoicing. For electrical installations, pressurized equipment, fire installations, and other regulated technology, certification requirements, manufacturer instructions, or formal inspections may be required in addition to this package.

Important limitation: This package is not a workplace permit, technical approval, inspection certificate, customer contract, or invoice. The checklists must be adapted to the actual risks, regulations, and technical requirements of the assignment. Seek support from a qualified specialist when necessary.

Common mistakes to avoid

  • Recording hours and materials against different order IDs.
  • Documenting additional work without verifying customer approval.
  • Entering measurement values that have never been checked.
  • Confusing price excluding VAT with the consumer's price including VAT.
  • Using Excel totals as accounting records or final invoices.
  • Forgetting to close out open deviations and save service history.
  • Using a general work order for regulated inspections without the necessary competence.

Frequently asked questions

Are a work order and a service report the same thing?

No. The work order describes the order, planning, and scope of the assignment. The service report shows which actions and checks were actually performed and what remains to be done.

Is the work order legally binding?

It depends on the content, the intent of the parties, and how the order or acceptance took place. A filled-out form is not automatically a binding, complete agreement.

Can I use Excel for time tracking?

Yes. Register order ID, technician, task, decimal hours, and your own hourly rate. Row totals and order totals are calculated automatically.

Can I use the template as an invoice?

No. You receive a basis for later invoicing; a valid invoice must meet applicable tax and invoicing requirements.

Does it work for service agreements and recurring visits?

Yes, if you link each assignment to the correct customer and contract reference. For recurring visits, you should use separate order IDs for each work performed, depending on your company's routines.

Is an English version included?

Yes, a supplementary English Work Order & Service Sheet for staff is included. The main documents and the guide are in Swedish and based on Swedish conditions.
